Job Summary

The Staffing Coordinator’s primary function is to create, apply, open, and manage provider and support staff scheduling templates for assigned departments. They manage appointment changes during scheduling cycles, audit system accuracy, and serve as a subject‑matter expert in Athena scheduling templates. Timely and effective communication of schedule changes is essential.

Job Specific Competencies
  • Collaborate with Clinic Administrators and Associate Medical Directors to design, manage, and evaluate academic programs per CVCH mission and accreditation requirements.
  • Create and maintain schedules for Providers and support staff using approved leave requests and guidelines.
    • Manage requests for non‑clinic provider time, adjusting schedules accordingly (e.g., meetings, coaching, training).
    • Edit and maintain payroll schedule for assigned support staff.
    • Update all sources of truth & Athena with daily changes.
    • Develop annual holiday rotation for provider coverage.
  • Provide provider and support teams with timely and effective communication of schedule changes.
  • Supply payroll staff with a provider attendance report every two weeks.
  • Perform self‑audits to ensure accuracy and completeness of work.
  • Publish monthly on‑call schedule for hospital coverage and update as needed, entering directly into ROTA for contracted triage resource Access Nurse.
  • Continuously monitor the shared Outlook inbox for all requested updates.
General Duties and Responsibilities
  • Perform other duties and tasks as assigned by supervisor.
  • Be prepared to start shift at scheduled time, meet attendance standards, and work required hours.
  • Follow all safety policies and general housekeeping practices; maintain a neat, clean, and safe workspace; participate in emergency drills.

  • Job Specifications
    • Education
      :
      Associate’s degree required; experience may substitute.
    • Certification/Licensure
      : N/A
    • Experience
      :
      One year in health care scheduling with strong communication and computer program experience preferred; reporting data experience preferred.
    • Essential Technical Skills
      :
      Knowledge of MS Word/Excel and general computer applications, intermediate keyboarding skills, ability to enter data and perform manual dexterity tasks.
    • Interpersonal Skills
      :
      Strong communication, teamwork, and personal integrity.
    • Essential Physical Requirements
      :
      Typical office environment, light physical effort, repetitive wrist/hand motions, standing, walking, lifting up to 50 lbs with assistance, ability to read forms and screens.
    • Essential Mental Abilities
      :
      Decision making within regulations, document analysis, audit and compliance knowledge, problem solving, detailed analysis.
    • Essential Sensory Requirements
      :
      Visual, written, and verbal communication skills.
    • Exposure to Hazards
      :
      Typical administrative work environment with moderate noise; contact with consumers and other staff; possible exposure to medical conditions.
