Description
The Administrative Accounting Assistant provides essential administrative, accounting, and operational support to ensure the smooth day-to-day functioning of all communities and the corporate office. This role supports leadership with financial processes, compliance, purchasing, records management, and general office operations while maintaining a professional, organized, and efficient work environment.
ESSENTIAL JOB RESPONSIBILITIES Accounting & Financial Support- Assist with payroll processing and related documentation
- Perform accurate data entry for financial and operational records
- Prepare, update, and maintain spreadsheets and reports
- Support accounting functions as assigned, including tracking expenses and invoices
- Coordinate purchasing for all communities
- Maintain purchasing records and ensure proper documentation
- Communicate with vendors as needed to support operational needs
- Support audits, inspections, and reporting requirements
- Maintain organized and accurate records in accordance with compliance requirements
- Ensure files are properly maintained, stored, and accessible
- Maintain a tidy, organized, and well-stocked office environment
- Order and manage office supplies
- Open, sort, and distribute mail
- File documents accurately and consistently
- Answer phones professionally and courteously
- Provide accurate information or route calls to the appropriate individual
- Serve as a welcoming and helpful point of contact
- Provide assistance with special projects as assigned
- Assist with errands, including banking or administrative tasks outside the office
- Support leadership in day-to-day operations and organizational initiatives
- Strong organizational and time-management skills
- High attention to detail and accuracy
- Proficiency in spreadsheets and basic accounting tools
- Ability to handle confidential information with professionalism
- Strong written and verbal communication skills
- Ability to multitask and prioritize in a fast-paced environment
- Experience with payroll processing and accounting support
- Previous administrative or office management experience
- Proficiency with Microsoft 365 platforms (Teams, Word, Excel, PowerPoint, Outlook, One Drive)
