Parish Life Coordinator – Mother of Perpetual Help Congregation, West Allis, WI
An enthusiastic and joyful practicing Catholic who serves as a staff resource in support of the Pastor and Director of Administrative Services, fulfilling parish needs in the areas of resonating the tone and culture of the parish office while interacting with others in-person, on the phone and in written communication. Provides office support with a variety of administrative, clerical and bookkeeping activities and tasks.

- Proficiency in MS Office and computer skills
- Collaboration skills working with many ministries
- Experience in database management preferred
- Eagerness to learn and implement new processes

- Ability to work with and without supervision
Duties and requirements for the position include but are not limited to:
Office Support:
- Oversee timely opening and closing of parish offices
- Provide a welcoming greeting for parishioners and guests
- Welcome and assist telephone calls by:
- Directing the calls to appropriate individual
- Taking messages and/or forwarding calls into individuals voice mail
- Providing information i.e., mass times, bulletin, directions, etc.
- Enter and maintain the parish membership and donor information
- Maintain the calendar across all ministries including rentals
- Receive, sort and forward incoming mail
- Responsible for the ordering, receiving, stocking and distribution of supplies
- Coordinating the pickup and delivery of any express mail services as needed
- Assists with other related clerical duties such as copying, filing, mailing
Schedules mass intentions - Assists with any Archdiocesan requested information
- Scan, document and transfer invoices to be paid in designated drop box
- Follow process of invoice approval prior to payment
- At designated times, print checks to be signed.
- Once check is properly signed, mail check and complete all documentation
- Supervise weekly parish cash counting process
- Properly enter weekly donor information into PDS and complete QB entry
- Monitor and enter weekly online donor into PDS and complete QB entry
- File all invoices and documents in organized manner
- Monitor bank “positive pay” and respond to any issues
- Assist with yearly issue of 1099’s for outside vendors
- Responsible for year-end donation letters to parishioners
Other:
- Maintain and manage facility keys
- Attend parish staff meetings as needed
- Participate in Archdiocesan sponsored training/workshops as needed

Physical Requirements:
- The employee is regularly required to sit, stand, walk, talk and hear
- The employee is frequently required to sit for extended periods: use hands: reach with hands and arms.
- Close vision required for paperwork and computers
- Able to utilize computer keyboard, monitor and telephone
- This role functions in an office environment and uses stand office equipment
- Ability to lift 20 pounds.
