Position: COUNTY CLERK ASSISTANT II - PART TIME

County Clerk Assistant II - Part Time (PT) – Washington County, West Bend, Wisconsin.

Position Summary

Under the routine supervision of the Chief Deputy County Clerk and County Clerk, responsible for providing clerical support functions for a program, or programs, within the Department.

Responsibilities
  • Reconcile and deposit cash from previous day’s transactions.
  • Update and prepare in-house telephone book.
  • Update and prepare county directory.
  • Take minutes and prepare and distribute agenda and minutes for all committees assigned by the Supervisor, if needed.
  • Prepare marriage license applications, process passport applications, and take passport photos.
  • Direct callers and assist walk-in visitors.
  • Provide switchboard relief.
  • Screen phone calls and refer callers, as appropriate.
  • Handle estate claims and bankruptcy notices.
  • Make copies of documents and distribute as appropriate.
  • Maintain files, and file documents appropriately.
  • Schedule meetings on computer calendar.
  • Mail room backup.
  • Perform other duties as assigned.
  • Work direction received: works under the routine supervision of the County Clerk and Chief Deputy County Clerk.

Decision Making

Decisions concerning work priorities and other daily activities are made independently.

Interaction

Interact with other County Departments, the public, and others outside the organization.

Essential Knowledge and Abilities

Knowledge of general office practices and procedures, business English and spelling, departmental policies and procedures, specific departmental responsibilities. Ability to type documents accurately, process documents appropriately, and interact effectively with coworkers. Ability to fulfill physical demands of the job, sensory demands (seeing and hearing), and cognitive demands (concentration, conceptualization, memorization).

Training and Experience

High School Diploma or GED and one year of previous office experience, including computer experience with proficiency in Windows, Microsoft Word, and Excel.
