LHH Recruitment Solutions is partnering with our client to find a Property Administrative Assistant to support daily operations within a growing property management organization. This is an excellent opportunity for someone with strong administrative and accounting experience who enjoys working in a fast‑paced environment and interacting with tenants, vendors, and internal teams. The ideal candidate will be highly organized, detail‑oriented, and comfortable handling a variety of administrative and financial responsibilities.

Responsibilities
  • Provide administrative support to the property management team, assisting with day‑to‑day office operations and tenant services
  • Answer incoming calls, emails, and tenant inquiries while providing professional and timely customer service
  • Prepare, maintain, and organize lease files, tenant records, vendor documentation, and property‑related correspondence
  • Coordinate maintenance requests, communicate with vendors, track work orders, and follow up to ensure issues are resolved promptly
  • Process vendor invoices and verify billing accuracy before submission for payment
  • Assist with accounts payable functions, including invoice entry, coding expenses, matching invoices to supporting documentation, and tracking payment status
  • Support accounts receivable activities by monitoring rent payments, preparing tenant billing information, researching payment discrepancies, and communicating regarding outstanding balances
  • Maintain accurate financial records and update property management systems with tenant, vendor, and accounting information
  • Reconcile invoices, vendor statements, and account discrepancies to ensure accurate reporting
  • Assist with monthly reporting, budget tracking, expense analysis, and preparation of financial documentation for property managers
  • Generate reports related to occupancy, tenant activity, maintenance requests, and financial performance
  • Coordinate meetings, maintain calendars, order office supplies, and support general administrative functions
  • Ensure confidentiality and accuracy of all tenant, financial, and property‑related information
Qualifications
  • Previous administrative experience required, preferably within property management, real estate, commercial property, construction, or a related industry
  • Prior experience with accounts payable, accounts receivable, invoice processing, or general accounting support strongly preferred
  • Strong knowledge of Microsoft Office, including Excel, Word, and Outlook
  • Comfortable working with numbers, reviewing financial documents, and maintaining accurate records
  • Excellent customer service, communication, and interpersonal skills
  • Strong organizational skills with the ability to prioritize multiple tasks and deadlines
  • High attention to detail and accuracy
  • Experience with property management software, accounting software, or ERP systems is a plus
  • Ability to work independently while supporting a collaborative team environment
