The Attendance Secretary monitors daily attendance in the database system and completes all corresponding paperwork and communications to essential personnel.
Essential Duties and Responsibilities:The employee will be required to be consistently at work and perform any other position-related duties requested by the Assistant Director and Department Supervisors. Below is an illustration but not exclusive or limited to:
- Maintain a customer service focus and welcoming demeanor
- Monitors daily attendance in database system for student population
- Write passes for tardy students and early dismissals and file accordingly
- Follow emergency procedures in regards to monitoring student attendance per direction of designated administrator
- Record and file excuse notes including vacation forms (which includes making copies for book, parent, and team leader)
- Prepare official attendance documents for outside agencies
- Monitor attendance phone line
- Prepare and communicate daily student absentee list to staff (including absence, unlawful absence, unexcused tardy, excused tardy, vacations, early dismissal, nurse exclusion, and external suspension)
- Prepare and distribute attendance letters to notify parents of cumulative attendance concerns in a timely fashion
- Prepare and distribute notifications of violations and citations, etc. in coordination with caseworker and/or designated administrator
- Prepare and provide attendance sheets for homeroom teachers
- Be proficient in Microsoft Office (ie. PPT, Excel, Word, etc)
- Other duties as assigned by administrator(s)
The qualifications listed below represent the minimum levels of education, training, skills, and abilities required for this position.
- High school diploma or equivalent necessary
- Proficiency in the use of technology for individual communication and research
- Possess effective interpersonal skills with the ability to interface diplomatically with teachers, administrators, parents, students, support staff and outside professional contacts
- Ability to perform essential physical and functional job requirements, including:
- Using hands to handle office equipment and materials; speaking and hearing effectively.
- Sitting for extended periods, with occasional standing, walking, stooping, kneeling, or crouching.
- Lifting and/or moving up to 25 pounds.
- Maintaining focus, attention to detail, and sound judgment in a fast-paced environment.
- Reports directly to the designated administrator
- Works cooperatively with administrators, supervisors, staff, parents, and other stakeholders to fulfill job responsibilities.
- This is a 10-month position.
- Salary (step/level placement) and benefits are determined in accordance with the current Collective Bargaining Agreement.
