Job Description:
DePuy Synthes is recruiting for a(n) Admin Assistant, located in Pennsylvania.
Johnson & Johnson announced plans to separate our Orthopedics business to establish a standalone orthopedics company, operating as DePuy Synthes. The process of the planned separation is anticipated to be completed within 18 to 24 months, subject to legal requirements, including consultation with works councils and other employee representative bodies, as may be required, regulatory approvals and other customary conditions and approvals.
Should you accept this position, it is anticipated that, following conclusion of the transaction, you would be an employee of DePuy Synthes and your employment would be governed by DePuy Synthes employment processes, programs, policies, and benefit plans. In that case, details of any planned changes would be provided to you by DePuy Synthes at an appropriate time and subject to any necessary consultation processes.
Job Overview
The Executive Assistant provides essential administrative and operational support to leaders and teams within Strategy & Transformation. This role helps ensure smooth day-to-day operations by coordinating schedules, managing communications, supporting meetings and projects, and maintaining accurate records. The position plays a key role in enabling leaders to focus on strategic priorities while ensuring operational efficiency across multiple corporate functions.
Key Responsibilities
- Provide comprehensive administrative support to assigned leaders and teams, including calendar management, meeting coordination, and follow-up.
- Coordinate meetings, conference calls, and onsite/offsite events, including logistics, materials, and attendee communications.
- Arrange domestic and international travel and prepare expense reports in accordance with company policies.
- Prepare, format, and distribute internal and external correspondence, presentations, and reports.
- Serve as a point of contact for internal stakeholders and external partners, ensuring timely and professional communication.
- Maintain files, trackers, and records to support operational, security, facilities, and real estate activities.
- Support departmental projects and initiatives by tracking actions, deadlines, and deliverables.
- Identify opportunities to improve administrative processes and enhance team efficiency.
Education
- Required:
High school diploma or equivalent
- Preferred:
Associate's or Bachelor's degree in Business Administration or a related field
Required:
- 0-2 years of administrative or office support experience.
- Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
- Clear written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Experience supporting multiple leaders or cross-functional teams.
- Experience in a corporate, facilities, real estate, security, or operations environment.
- Familiarity with travel and expense management systems.
- Demonstrated ability to anticipate needs and proactively solve problems.
- Strong attention to detail and follow-through.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
