The shift for the position is Monday to Friday, 8:00 a.m. – 4:30 p.m.

The Office Assistant is responsible for the coordination and delivery of a full range of office support services to the director, staff and to students registered with the Office of Educational Accessibility (OEA).

The ideal candidate will demonstrate a strong commitment to accessibility and student success, along with exceptional clerical and organizational skills. They will be a clear and engaging communicator who takes initiative, approaches challenges thoughtfully and contributes to continuous process improvement. The successful candidate will be dependable, adaptable and team-oriented with the ability to collaborate effectively with students, faculty, staff and families while supporting the evolving needs of the office.

Responsibilities Include:

  • Serve as first point of contact and information center for students, faculty, staff, parents, and visitors.
  • Screen incoming calls and in-person visitors and handle or redirect to proper individual or office for assistance.
  • Provide students with information on and assist with OEA procedural matters like requesting accommodations letters or placing a test request and steps for disclosing with the OEA.
  • Maintain the RAMS-Accommodate system, including processing of semester requests, internal auditing of records, maintaining data integrity, coordinating the semi-annual review of accommodations language and periodically reviewing all accommodation letter templates to ensure accuracy and currency.
  • Schedule meetings, prepare agendas, take minutes for staff meetings and other meetings as designated by Accommodations team.
  • Coordinate business functions such as preparation of travel authorization vouchers, student and staff hiring forms, graphics and printing, maintenance of rental contracts, etc.
  • Assign routine tasks to student workers and provides support on the proper use of office equipment in consultation with the accommodations team.
  • Maintain a calendar for appointments for department director. Cancel and reschedule appointments, as needed.
  • Schedule departmental meetings and events, reserve rooms and order food, if requested.
  • Maintain office inventory and order supplies when needed and/or requested.
  • Track and approve eTime submissions for student workers performing a variety of support functions across varying pay rates.
  • Maintain office files, including confidential student files, unofficial personnel records for OEA staff and student workers, both in hardcopy and digitally, as designated.
  • Input work orders for building administrator and/or contact appropriate office (work control, custodial, public safety) with regard to emergencies, repairs or maintenance needs.
  • Request classroom changes for accessibility issues.
  • Maintain and update the department website.
  • Serve in support functions within OEA, as assigned, principally supporting the Proctoring Center, but also including events, both on and off campus, for prospective and incoming students.
  • Perform other duties as assigned
Minimum Qualifications
  • Six months as a Clerical Assistant 1 (commonwealth title); or
  • OR Graduation from high school
  • OR An equivalent combination of experience and training.
  • Demonstrated proficiency in Microsoft Office including Outlook, Word, and Excel
Preferred Qualifications
  • Knowledge of privacy practices under FERPA and the ADA
  • Associate's Degree or higher
  • Experience in an administrative or receptionist role
  • Experience in higher education or an academic setting
  • Experience with accommodations management, student success, and student information systems, including Symplicity Accommodate, Navigate, Banner, and People Soft.
