Position Overview

Position Title: Executive Support Specialist / Bookkeeper – 240 Days
Department: School
Reports To: Principal
Location: Northside Middle School, West Columbia, SC

Summary / Function: Employee receives general supervision within a broad framework of policies and procedures. Responsible for accounting, budgeting, bookkeeping, internal controls, payroll, and support functions within the school.

Key Responsibilities Bookkeeper & Payroll
  • Handles, records, and deposits all money collected according to district policy
  • Assists the Principal in setting up budgets prior to the new school year
  • Manages expense and revenue accounts needed for posting budgets and reviews all budget postings for accuracy
  • Generates and manages purchase orders
  • Submits check requests in a timely manner to ensure payment
  • Checks in supplies before distributing
  • Records and submits teacher attendance/absence documentation to payroll
  • Compiles and submits payroll documentation
  • Maintains petty cash and accompanying documentation
  • Manages field trip requests – submits requests online
  • Obtains Notary Certification within 90 days
Attendance
  • Assists with daily attendance: signing in late students and entering data into Power School in a timely manner
  • Enters absence excuses into Power School as needed to maintain current records
Secretarial
  • Serves as Principal's secretary
  • Addresses phone call needs before passing to teachers/administration
  • Prepares correspondence, calendars, rosters, schedules, and letters as requested
  • Maintains drill documentation (fire, intruder, weather, earthquake, etc.) and notifies district contacts
  • Submits work orders to maintenance
  • Responds to school when called (Sure Watch)
  • Assists parents/visitors with enthusiasm
  • Assists Power School/attendance/registrar as needed (cross‑train)
  • Signs in late students while clerk enters them into Power School
  • Completes other duties/tasks as assigned by the principal
Power School & Records
  • Registers and withdraws students during the summer following district policies
  • Assists in obtaining special education documentation
  • Both forwards and requests student records
  • Makes necessary schedule changes
  • Updates permanent records and ensures accuracy
Qualifications

Education: High school graduate or equivalent; associate’s degree preferred.

Experience: Secretarial or clerical experience or equivalent combination of training and experience that provides required knowledge, skills, and abilities.

Knowledge: Excellent written and verbal communication; business English and grammar; departmental policies, procedures, and operations; office management principles; record-keeping forms.

Skills: Exceptional proficiency with technology – websites, Microsoft Word, Excel, PowerPoint, Access, Publisher, and digital photography; telephone skills; ability to interpret detailed instructions.

Language: Ability to read, interpret, write routine reports and correspondence; speak effectively using Standard English.

Mathematical

Skills:

Apply concepts such as fractions, percentages, ratios, and proportions.

Reasoning Ability: Apply common sense; deal with problems involving several concrete variables.

Other Skills & Abilities: Pass a basic skills test and technology proficiency test; establish and maintain effective relationships with students, staff, and community; perform duties with awareness of district requirements and Board policies.

Physical Demands & Work Environment

Regularly stand, walk, sit at a desk, and perform light lifting up to 10 lbs. Must meet deadlines under time constraints. Work is indoor, low noise level, no significant exposure to environmental conditions. Physical demands limited to office work; no travel required.
