Front Desk Coordinator | Administrative and Support Services [M&FRC
188093] – Full-time position with Pro Sidian, a management and operations consulting firm delivering enterprise service solutions across risk management, compliance, business process, IT effectiveness, engineering, environmental, sustainability, and human capital.

Pro Sidian serves a broad range of industry sectors and engages with public/private companies, defense and civilian government agencies, and non-profit organizations. The role supports the U.S. Air Force Military & Family Readiness Center (M&FRC) and related entities in the Midwest and CONUS – North Dakota region.

Position details: DPLH Est.: 2080 Hrs. ST | 0 Hrs. OT on a full-time basis; location CONUS – North Dakota; supporting MFRC with data entry and front desk customer service.

Responsibilities
  • Serve as the primary point of contact for all visitors, military personnel, and family members entering the MFRC.
  • Greet and assist visitors professionally to maintain a welcoming and secure environment.
  • Answer and direct phone calls, emails, and inquiries to appropriate staff or departments.
  • Maintain a professional front desk area with up-to-date information materials.
  • Assist in scheduling and managing appointments, meetings, and events using government scheduling systems.
  • Ensure compliance with base security protocols by verifying visitor credentials and directing entry procedures in accordance with AFI 31-101.
  • Manage visitor logs, security check-ins, and required DoD 5200.1-R documentation.
  • Maintain accurate data entry in government systems with confidentiality and proper documentation handling.
  • Generate and maintain electronic and physical records related to front desk operations, including daily visitor reports and appointment logs.
  • Provide administrative support (filing, correspondence, supplies, mail distribution).
  • Assist in event and workshop coordination (registration, materials, room setup).
  • Ensure compliance with military regulations, confidentiality policies, and MFRC operational standards.
  • Secure all government-issued materials, devices, and documents at the end of each shift.
Qualifications & Experience
  • High school diploma or equivalent required; an Associate’s degree in Business Administration, Office Management, or related field preferred.
  • 2+ years of experience in front desk operations, customer service, or administrative support.
  • Experience in a military, governmental, or high-security environment is a plus.
  • Experience handling secure records and sensitive data preferred.
  • Strong customer service orientation and ability to engage professionally with military personnel, families, and staff.
  • Working knowledge of office administration, data entry, and records management.
  • Understanding of military base operations and security procedures preferred.
Skills
  • Strong verbal and written communication; effective interaction with visitors, military personnel, and government officials.
  • Excellent organizational skills; ability to manage multiple tasks and schedules.
  • High attention to detail for accurate data entry and record-keeping.
  • Ability to work independently with professionalism and integrity.
  • Problem-solving abilities for unexpected situations and visitor needs.

Note:

This employer participates in the e-Verify program. Proficiency with Microsoft Office Suite is expected; familiarity with government scheduling and database systems is a plus.

Ancillary Details
  • All contractor personnel must obtain a base vehicle pass and comply with North Dakota state regulations.
  • Adherence to military protocol when interacting with uniformed personnel and officials.
  • Extended hours may be required during special events or high-traffic periods at MFRC.
  • Periodic refresher training on security, confidentiality, and customer service protocols is expected.
Other Details
  • Must obtain and maintain base access clearance per Minot AFB security requirements.
  • Initial and recurring security training per DoD and Air Force regulations.
  • Ability to stand for long periods and operate office equipment (phones, copiers, computers).
