Overview

Reporting to the Associate Director of Administration for Yale’s West Campus, this role leads and manages a team of administrative staff supporting institute faculty. This position provides direct supervision and guidance to staff, ensuring high-quality administrative support and operational excellence. Key responsibilities include overseeing daily operations, workflow management, coverage coordination, and timecard approvals. The role partners with Faculty Affairs and Human Resources to develop processes, address performance matters, and ensure compliance with University policies.

The Supervisor drives staff development through training programs, performance feedback, and implementation of best practices. The position collaborates with faculty home departments and West Campus Administration to streamline processes, enhance efficiency, and maintain policy adherence, while also developing and implementing systems that improve administrative effectiveness and support faculty needs. This position plays a critical role in fostering a collaborative, professional environment that supports faculty success and advances the mission of West Campus.

Skills And Abilities
  • Demonstrated ability to manage people on a day-to-day basis with the ability to manage relationships and influence others in a positive manner and inspire a high level of commitment and performance. Self-directed and self-starter. Demonstrated experience in conflict management and addressing issues in a fair, positive, and timely manner.
  • Demonstrated ability to manage time and resources effectively, measure and monitor progress, and redirect efforts as needed. Ability to proactively manage change and strategically think about structure and workflow. Ability to utilize various institutional tools and resources such as the performance feedback process and timekeeping system.
  • Prior experience in an academic setting and the ability to interact with all levels of faculty, staff and outside parties including Local 34. Ability to form strong working relationships among staff and leadership. Superior interpersonal skills and the ability to represent the department professionally.
  • Demonstrated organizational, planning, decision-making, and problem-solving skills. Proficient in framing a problem, identifying and evaluating potential solutions, developing a plan of action and milestones, and evaluating the effectiveness of the chosen course of action.
  • Proficiency with MS Outlook, Word, Excel, and PowerPoint. Ability to establish priorities and follow through on projects, paying close attention to detail with minimal supervision to complete assignments under time constraints.
Preferred

Skills And Abilities
  • Knowledge and understanding of the Local 34 contract and Yale policies and procedures.
  • Knowledge of Yale systems, including Workday.
Preferred Education And Experience
  • 5-7 years of proven experience in a supervisory/management role.
Principal Responsibilities
  • Supervises staff members in the day to day operations of an academic department, including the Chair’s Office. Ensures that the department will have unified staff procedures, back-up staffing when needed, and overall group support.
    2. Designs and implements efficient, time-saving administrative procedures. Prioritizes projects and assigns staff to complete tasks. Ensures that work flow is organized and staffed for quality efficient completion.
    3. Interviews, hires, counsels and trains staff. Establishes work standards and expectations and evaluates staff performance. Assesses and resolves or escalates problems arising within unit.
    4. Interacts with departmental and University staff to define work assignments, communicate progress of work, and plan and coordinate projects.
