Position Overview
Veterinary Receptionist (Care Coordinator) – First point of contact for clients, ensuring a welcoming and efficient experience. This role aligns with Veterinary Receptionist, Customer Service Representative, or Client Care Specialist titles.
Responsibilities- Greet clients and patients by name in a friendly manner.
- Recognize and meet client needs, including welcoming pets, assessing severe cases, and maintaining isolation when necessary.
- Perform opening procedures: turning on computers, retrieving messages, returning phone calls, reviewing appointments and surgery schedules.
- Schedule and confirm client appointments, ensuring smooth flow for doctors and staff.
- Answer phones and direct clients to appropriate departments, providing approved advice and options.
- Maintain client file organization, ensuring all information is legible, current, and accessible.
- Prepare patient charts for technicians and doctors.
- Provide lab work information to doctors for client communication.
- Keep desk and reception area neat and organized, ensuring availability of forms, paperwork, tags, and price lists.
- Collect fees, write sales slips/receipts, and dismiss patients.
- Handle daily receipts and manage money transactions accurately.
- Process referral letters and mail to client’s regular veterinarian.
- High school diploma or equivalent.
- Excellent customer service and communication skills.
- Excellent phone etiquette; transfers, paging, hold, voicemail management, and message taking.
- Computer proficiency.
- Ability to work in a team‑oriented environment and follow directions.
- Honest handling of money transactions.
- Sound decision‑making and multitasking skills in a stressful environment.
- Experience in a veterinary setting.
- Service‑oriented, dedicated, polite, caring, empathetic, organized, and trustworthy personality.
- Ability to follow directions with and without supervision and refer issues to appropriate personnel.
- Ability to recognize certain behaviors in animals.
- Proficiency in hospital protocols and invoicing procedures.
Physical Requirements
- Full‑time, day shift.
- Schedule:
Wednesday, Thursday, Friday, and Saturday 8 am–6 pm.
- Reports to Office Manager, Hospital Administrator, and veterinarians.
- Basic typing skills, familiarity with the alphabet, thoroughness, and neatness.
