Spiritual Care Department Administrative Assistant
Location: Center for Advancing Spiritual Care & Education, St. Mark’s Hospital
Employment Type: 28-32 hours/week; flexible schedule
Compensation: $22 per hour starting wage, plus benefits
Required Competencies- Provide exceptional customer service (friendly, kind, caring)
- Ensure accuracy and quality of all work and materials
- Maintain confidentiality with personal and sensitive data (student records, staff info)
- Ability to multitask, prioritize, and organize efficiently
- Provide administrative support to multiple directors
- Communicate proactively to ensure deadlines and needs are met
- Contribute to office culture of hospitality and compassionate care
- Ability to work independently
- Confidence and accuracy when posting to web sites and other communication platforms
- Intermediate knowledge/skill when working with both Mac and PC programs, Microsoft Office Suite, and Google Suite
- Experienced with website and social media platforms, and working with video editing software
- Correspond timely to prospective student inquiries and follow-up during the review process
- Process CPE Applications and schedule interviews; working with the registrar and team of educators
- Complete onboarding and offboarding for students and coordinate with Clinical Placement Sites
- Maintain accurate student files and statistics
- Track resident PTO for vacation and sick leave
- Compile Center data for ACPE Accreditation
- Process and file CPE Unit evaluations
- Maintain email contact list and communicate with student alumni
- Create resources such as phone lists and photo pages for each Unit
- Revise and maintain Clinical Placement Site Agreements
- Manage library resources
- Correspond and coordinate with Board Members
- Coordinate meetings and retreats
- Take, transpose, and distribute meeting minutes
- Collect and maintain accreditation records of PAG activity
- Assist in onboarding new ECS Chaplain students and employees and coordinate requirements with hospitals
- Maintain confidentiality in the collection and maintenance of employee files
- Assist in the reporting of clinical, on-call, and productive time
- Collect and report employee hours monthly
- Keep statistics for planning and reporting
- Assist in coordination of multi-faith religious events and holiday services
- Maintain and update website content to ensure accuracy and current information.
- Create and schedule engaging content across social media platforms to increase community outreach.
- Monitor social media channels for engagement and respond to inquiries in a timely manner.
- Participate in keeping the office clean and holiday decorating
- Request meeting rooms and coordinate food/beverage for functions
- Complete other duties as assigned with schedule flexibility
