About the Role

Lola Blankets, the creator of the world's softest luxury faux fur blankets, is seeking an Inventory & Logistics Coordinator to own our end-to-end import program and ensure all shipments are booked, tracked, costed, and received correctly, from the moment a vendor confirms cargo-ready to the moment it's received at a warehouse. This is a hands-on, high-volume role. You'll coordinate directly with vendors on shipping schedules, manage freight forwarder partnerships, keep our ERP accurate on cost and timing for every PO, maintain records, and partner with warehouse and operations leadership to keep receiving and inventory tight.

Success looks like clean, predictable imports process and a complete, audit-ready paper trail behind every shipment.

Core Responsibilities Vendor & Freight Scheduling

Partner closely with Lola Planning/Production team and vendors on production WIP, cargo ready dates, and freight pickups. Serve as the primary point of contact for vendors on all shipping-related questions.

Freight Forwarder Management

Book and approve shipping routes and rates with freight forwarders. Review and approve forwarder invoices against contracted rates; flag and resolve discrepancies. Track containers in transit and proactively communicate delays, issues, or routing changes. Manage forwarder performance - on-time rate, invoice accuracy, responsiveness - and hold them accountable.

Customs & Documentation

Work with our customs broker to confirm correct import details and documentation for every shipment. Maintain complete, audit-ready documentation for every import PO: commercial invoice, packing list, bill of lading, arrival notice, entry summary, receipt details, and more. Partner with Accounting to quickly and efficiently provide all shipment-level information needed for audits, closes, and discrepancy resolution. Maintain a master shipment register for every container - entry number, entry date, import date, PO number(s), commercial invoice number(s), bill of lading, container number, HTS classification, country of origin, customs broker reference, and warehouse destination - as well as any customs rulings or broker correspondences.

Ensure duty paid matches declared value and resolve any discrepancies with the broker.

ERP Costing & Schedule Management

Own accurate date and schedule tracking in the ERP - incoterms date, ETA dates, and container delivery dates - so the rest of the business can plan against real schedules rather than estimates. Partner with Planning/Production team to ensure accurate landed cost (goods + freight + duty) in the ERP for every PO. Reconcile ERP records against actual invoices and duty paid;

resolve discrepancies with accounting.

Warehouse Scheduling & Receiving

Coordinate receiving schedules with the warehouse ahead of container arrival. Process receipt of inbound containers: confirm quantity and condition against PO and documentation. Partner with the Operations Manager to resolve receiving issues as they come up.

Inventory Accuracy & Process Execution

Partner with Operations, Accounting, and warehouse teams to keep inventory accurate Run daily inventory reconciliation processes, elevate and help resolve discrepancies when they arise, and support periodic cycle counts.

Qualifications

Experience managing FOB ocean freight imports and working with external teams from production vendors to 3PL warehouse teams. Working knowledge of US customs entry, HTS classification, and duty calculation - comfortable working fluently with a customs broker (no license required). Comfortable standing up new process and recordkeeping infrastructure, not just maintaining what already exists - this role is being built as we shift from DDP to FOB.

Strong ERP experience, including costing and scheduling/date-tracking modules. Comfortable owning vendor and forwarder relationships directly, with no hand-holding. Strong inventory fundamentals - receiving, cycle counts, reconciliation - with the instinct to spot when something doesn't tie out. Extreme attention to detail and a passion for reconciliation work Positive, can-do, solution-oriented attitude and a natural excitement to solve problems
