Position Summary:

The Administrative Assistant supports the College of Science Student Success team, serving multiple programs and cross-college initiatives. This role coordinates advanced administrative and operational functions with minimal supervision, exercising sound judgment, prioritization, and attention to detail. The position manages sensitive student records, supports financial tracking, coordinates shared office operations, and develops communications, including a biweekly student events publication. The role serves as an operational hub and contributes directly to program effectiveness and student engagement.

Duties and Responsibilities:

* Independently perform non-routine administrative tasks using discretion and problem-solving

* Coordinate meetings, events, and program activities, including logistics, communications, and materials

* Provide shared secretarial support across multiple individuals and projects within the building

* Maintain and manage confidential student records and documentation

* Draft, edit, and format correspondence and promotional materials reflecting the College's standards

* Produce and distribute a biweekly publication highlighting student events and opportunities

* Conduct information searches, compile data, and prepare organized reports

* Monitor operating budgets, track expenses, and help maintain accurate financial records

* Respond to and resolve non-routine inquiries from students, faculty, staff, and external stakeholders, providing excellent service and guidance

* Support special projects in collaboration with campus partners

What We're Looking For

Education and Experience

Required:

* Requires a High School Degree or High School Equivalency (HSE)

* Minimum of three (3) years of experience in an administrative support role

Skills Required:

* Excellent verbal and written communication skills

* Drafting, proofreading and editing skills

* Strong organizational and time management skills and attention to detail

* Drafting, proofreading and editing skills

* Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.

* Ability to:

* handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality

* collaborate and communicate with individuals at all levels within and external to the university to support department needs

* interpret policies and procedures to proactively resolve issues or improve processes

* identify problems and implement or recommend solutions
