The OpportunityDumé Law Group is seeking a Bilingual Billing Coordinator / Receptionist to join our team in a hands-on role supporting both the firm and billing operations and front-office functions.
The ideal candidate is fluent in English and Spanish, highly organized, detail-oriented, and comfortable working directly with clients. This position requires someone who can manage billing and payment-related responsibilities while also providing professional and welcoming service to clients and visitors.
The successful candidate will be able to adapt quickly, multitask effectively, and maintain accuracy in a fast-paced, high-volume work environment.
Key Responsibilities- Develop and maintain client contracts and retainers.
- Prepare, review, and manage client invoices and billing reports.
- Maintain accurate records of client payments, balances, invoices, and adjustments.
- Identify and resolve billing discrepancies and errors.
- Process payments, refunds, credits, and other billing adjustments through Lawmatics, Law Pay, and cash.
- Lead follow-up with clients regarding past-due, missing, unbilled, and outstanding payments.
- Communicate professionally with clients regarding balances, payment arrangements, invoices, and payment-related questions.
- Perform billing-related administrative and data-entry tasks.
- Answer and direct incoming calls in English and Spanish as needed.
- Greet clients and visitors and provide professional, welcoming service.
- Schedule and confirm appointments and assist with maintaining the office calendar.
- Relay client messages and coordinate with attorneys and paralegals.
- Provide general administrative and clerical support based on the needs of the office.
- Fluency in English and Spanish.
- Strong organizational, communication, and attention-to-detail skills.
- Comfortable handling billing, invoices, payments, and sensitive financial information.
- Strong computer and data-entry skills with the ability to manage multiple priorities.
- Professional, reliable, and client-focused.
- Ability to work full-time and in person in West New York, NJ.
- Experience in billing, accounts receivable, payment processing, or collections.
- Experience with Lawmatics, Law Pay, or similar billing/payment platforms.
- Experience in a law firm, professional services, or client-facing office.
- Experience with invoices, payment follow-up, refunds, or billing adjustments.
