The Customer Operations Manager owns the end-to-end execution of customer orders from purchase order receipt through final delivery. This role serves as the operational lead for assigned customer accounts and partners cross-functionally with sales, planning, purchasing, warehouses, freight forwarders, customs brokers, and vendors to ensure accurate order fulfillment, compliant import execution, and on-time delivery.

This position is operationally focused and best suited for candidates with experience in logistics, supply chain, and ERP-driven order management within an import or distribution environment. The ideal candidate is highly organized, detail-oriented, and comfortable making execution decisions in a fast-paced, deadline-driven setting.

The job is an in office position located in West Orange, NJ.

Key Responsibilities Order Management & Execution
  • Own assigned customer accounts and manage the full order lifecycle from purchase order receipt through shipment and invoicing.
  • Enter, process, and maintain accurate order data within ERP and CRM systems.
  • Ensure order accuracy, pricing alignment, and documentation compliance.
  • Collaborate with customer operations teammates to ensure coverage, continuity, and execution consistency.
Customer Account Operations
  • Act as the operational point person for customers, providing proactive updates on order status, inventory availability, and shipment timing.
  • Manage multiple active customer accounts and concurrent orders in a deadline-driven environment.
  • Investigate, resolve, and escalate order and shipment exceptions related to delays, shortages, damages, billing, or quality issues.
  • Communicate clearly and professionally with customers, internal teams, and external partners.
Logistics & Shipment Coordination
  • Coordinate inbound and outbound shipments with international vendors, freight forwarders, carriers, customs brokers, and warehouse teams.
  • Track shipments end-to-end from overseas departure through final domestic delivery.
  • Create pick tickets, verify inventory availability, and schedule domestic transportation (LTL, FTL, small parcel).
  • Make execution decisions related to freight method selection, shipment prioritization, and consolidation to optimize cost and service.
Import, Customs & Compliance
  • Collect, review, and verify import and export documentation, including Bills of Lading, commercial invoices, and packing lists.
  • Partner closely with customs brokers to support smooth clearance and timely delivery.
  • Maintain working knowledge of Incoterms, import compliance requirements, and domestic freight classifications.
Inventory & Warehouse Coordination
  • Monitor inventory levels for assigned accounts and collaborate with planning and purchasing teams to support forecasts and replenishment needs.
  • Serve as the primary liaison to warehouse teams, prioritizing daily outbound shipments based on urgency and carrier cutoff times.
  • Ensure inventory accuracy and alignment between physical stock and system records.
  • Partner with sales to support quotations, returns, and customer-specific requirements.
  • Provide operational insights to support customer retention and growth.
  • Prepare reports and documentation for customers and internal stakeholders as required.
Qualifications & Skills Education
  • High school diploma or equivalent required.
  • Associate or bachelor’s degree in business, supply chain, or a related field preferred.
Experience
  • 2+ years of experience in order management, logistics coordination, or supply chain operations within an import, manufacturing, or distribution environment.
  • Hands-on experience working with freight forwarders, customs brokers, carriers, and warehouse teams strongly preferred.
Technical Skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Experience using ERP, CRM, and WMS systems such as Net Suite, SAP, or similar platforms.
