The Accounting Administrator will perform routine clerical, filing, and data entry tasks for accounting data including accounts payable, billing, and receivables. Reporting to Chief Financial Officer.

Supervisory Responsibilities:

Duties/Responsibilities:
  • Conducts routine data entry management for accounting records including accounts payable, billing, and receivable accounts.
  • Reviews billing statements, invoices, and similar documents for accuracy; alerts supervisory staff of any discrepancies.
  • Distributes accounting reports as directed.
  • May assist with mail distribution, answering telephones, and other clerical tasks as needed
  • Process employee reimbursements
  • Assist with driving time for field staff
  • Set up job accounts with vendors
  • New Customer setup applications and related forms
  • Insurance Requests
  • Assist accounts payable manager with credit card approval process and expense report approvals
  • Credit applications for new customers
  • Manage subcontractor agreements and related forms
  • Following up with vendors on invoices our project managers rejected
  • Sign up/coordination for golf outings and other related company events
  • Vendor statement reviews to ensure we are not missing any vendor invoices in our accounting system
  • Ordering supplies for the office
  • Manage clothing orders for office and field staff
  • Performs other related duties as assigned.
Required Skills/Abilities:
  • Ability to accurately and efficiently enter data into computer software and systems.
  • Basic mathematical skills.
  • Proficient in Microsoft Office Suite or related software.
Education and Experience:
  • High school diploma or equivalent required.
  • Notary preferred
  • 1 to 3 years of accounting experience preferred
  • Bachelor's Degree in Finance or accounting preferred
Physical Requirements:

Prolonged periods sitting at a desk and working on a computer.

Must be able to lift to 15 pounds at times.
