Accounts Receivable Specialist

Description We are looking for an Accounts Receivable Specialist to join a team in West Palm Beach, Florida in a contract capacity with permanent potential. This position supports billing, collections, and receivables activities in a fast-paced environment, with a strong focus on accuracy, follow-through, and customer account management. The ideal candidate will bring hands-on experience in commercial collections and billing operations while working effectively with internal partners to keep accounts current.

Responsibilities:

- Prepare and submit customer invoices for plant-related transactions, including third-party asphalt billing and internal charges for company-completed work.

- Monitor outstanding receivables and follow up with customers to drive timely payment on open balances.

- Coordinate the filing of notices related to non-payment, liens, and notices to owners through designated service providers.

- Apply incoming payments accurately and maintain detailed records of cash activity within the accounts receivable process.

- Partner with internal stakeholders to review aging accounts and support recurring meetings focused on collection progress.

- Investigate billing discrepancies, resolve account issues, and help ensure invoice accuracy and completeness.

- Maintain organized documentation for customer accounts, billing support, and collection actions.

- Contribute to daily on-site receivables operations while meeting deadlines and supporting broader accounting needs as required. Requirements - Experience in accounts receivable with direct involvement in billing and commercial collections.

- Working knowledge of cash applications, cash activity tracking, and account reconciliation.

- Ability to manage customer follow-up professionally and effectively on overdue balances.

- Familiarity with lien releases, notices of non-payment, and related documentation processes.

- Strong attention to detail with the ability to handle multiple priorities in a deadline-driven setting.

- Proficiency with standard accounting systems and Microsoft Office tools, especially Excel.

- Clear communication skills and the ability to collaborate with both customers and internal teams.
