Accounts Payable Specialist

Description

A growing property management organization in West Palm Beach is seeking an experienced Accounts Payable Specialist to join its accounting team. This role is responsible for processing a high volume of invoices, ensuring timely vendor payments, maintaining accurate financial records, and supporting month-end accounting activities. The ideal candidate will have strong attention to detail, excellent organizational skills, and previous experience in a fast-paced environment.

Key Responsibilities

+ Process and code vendor invoices accurately and timely.

+ Perform three-way matching of invoices, purchase orders, and supporting documentation when applicable.

+ Review invoices for proper approvals and coding.

+ Prepare and process weekly check runs, ACH payments, and wire transfers.

+ Reconcile vendor statements and resolve invoice discrepancies.

+ Communicate with vendors regarding payment status and account inquiries.

+ Maintain vendor records, including W-9 forms and payment information.

+ Assist with month-end close activities, including accruals and account reconciliations.

+ Monitor AP aging reports and ensure timely payment of obligations.

+ Support annual audits by providing requested documentation.

+ Collaborate with property managers and internal departments regarding expenditures and invoice approvals.

+ Ensure compliance with company policies and accounting procedures.

Requirements

+ 2+ years of full-cycle accounts payable experience.

+ Property management, real estate, construction, or related industry experience preferred.

+ Strong understanding of general accounting principles and AP processes.

+ Experience processing high-volume invoices.

+ Proficiency with accounting software and Microsoft Excel.

+ Ability to prioritize multiple deadlines in a fast-paced environment.

+ Strong communication and problem-solving skills.

+ High attention to detail and accuracy.

Preferred Skills

+

Experience with ERP or property management software.

+ Knowledge of vendor management and contract-related payments.

+ Ability to work independently while supporting a collaborative accounting team.

+ Experience handling multiple entities and bank accounts is a plus.
