Summary
This position is responsible for administrative support to the Magistrate. The assistant is responsible for preparing and maintaining the Magistrate's court and professional calendar;
Reviewing submissions from parties, lawyers and Clerk primarily via email and the court's internal case management system viewer (JVS) for transmission to the Magistrate for further action;
Organizing, maintaining, and tracking work submitted to and from the Magistrate;
Reviewing relevant portions of electronic court files for compliance and completeness prior to submitting the case to the Magistrate for review;
Responding to emails, US Mail and phone calls;
Drafting proposed orders and/or reports and recommendations; case management;
Maintaining dockets, tracking and managing requests for continuances, tracking report and recommendations and/or orders; scheduling motions, hearings, conferences and trials. Interacting and establishing relationships with Magistrates, Judges, Clerk of Court staff, attorneys, law enforcement, social services, and the general public.
Essential Duties
- Works independently under general supervision according to procedures while developing work methods
- Composes/drafts and/or types correspondence, court orders, pleadings, memoranda, reports, e-mails, and other documents observing strict confidentiality.
- May assist the Magistrate in special projects, including case management, research and typing; develops and maintains working relationship with Clerk of Court office to ensure efficient delivery of services.
- May provide temporary coverage for other Magistrate Assistants at other court annexes.
- Attend staff and other professional meetings.
MINIMUM QUALIFICATIONS:
Bachelor's Degree and two years of experience working in business administration, paralegal, secretarial skills or a closely related field.
Three years of professional administrative analytical related experience.
Relevant experience and/or education may substitute for the recommended minimum qualifications on a year-for-year basis.
KNOWLEDGE
SKILLS AND ABILITIES
:
- Knowledge of the legal system, specifically dependency and family court divisions.
- Knowledge of the rules of English grammar, spelling, punctuation.
- Ability to work within deadlines to complete projects and assignments.
- Proficient in Microsoft Word, Outlook and Excel.
- Ability to prioritize work and communicate effectively verbally and in writing.
