Office Administrator/ Coordinator
TT Flight Services is seeking an Aviation Operations and Accounting Coordinator to join our team in West Palm Beach, Florida. Our private aviation department is built on a culture of professionalism, teamwork, accountability, and exceptional service.
This in-person position works closely with executive leadership in a dynamic and professional office environment and coordinates with our aviation department manager, flight crews, maintenance personnel, and vendors. The role combines aviation operations coordination and accounting responsibilities, including trip planning, travel logistics, scheduling, vendor management, and financial administration that support our corporate flight operations.
Responsibilities / Duties- Coordinate passenger travel requests, flight scheduling, and manifest preparation
- Coordinate transportation, hotels, catering, and other travel logistics for passengers and crew
- Work with the Aviation Department Manager to process accounts payable and vendor invoices capital expenditures, pilot payroll and benefits
- Administer the Corporate Credit Card program to include monthly reconciliations and expense tracking
- Maintain operational flight and accounting records and prepare monthly reports.
- Assist with tax compliance and reporting requirements
- Manage Federal Excise Tax (FET) payments and perform related reconciliations
- Collaborate and oversee 1099 management, including preparation, filing and vendor coordination and necessary documentation
- Aviation and Logistics:
Travel & Itinerary planning for flight crew and passengers using aviation software (e.g., Airplane Manager) - Accounting and Finance:
Full‑cycle bookkeeping, including accounts payable and monthly reconciliations related to flight department operations - Experience with Quickbooks accounting software and processing payroll a plus
- Strong organizational and communication skills
- Proficiency with Microsoft Office, particularly Excel
- Ability to manage multiple priorities and meet deadlines
- High level of discretion and ability to handle confidential financial and operational information
- Experience in corporate aviation, dispatch, scheduling or logistics
- Aviation experience is preferred but not required for candidates with strong accounting, bookkeeping, logistics, or administrative backgrounds
- Bachelor’s degree in Accounting, Finance, Aviation Management, Aviation Business, or a related field is preferred
- Certified Bookkeeper (CB) – American Institute of Professional Bookkeepers (AIPB) or similar is preferred
- FAA Dispatcher Certificate / License is preferred
- OSHA / Aviation Safety Management Systems (SMS) training is preferred
Full‑time employment - Based in our West Palm Beach office
- Primarily Monday through Friday during normal business hours
- Occasional availability after hours or on weekends to assist remotely with time‑sensitive operational matters
