Position OverviewWe are seeking an experienced, highly organized, and client-focused Office Manager to lead the administrative operations of our growing land surveying company in West Palm Beach, Florida. As the senior administrative leader, the Office Manager oversees office functions, client relations, project support, document control, team coordination, and operational oversight.
Office Operations & AdministrationManage day-to-day office operations, supervise administrative staff, implement office procedures, coordinate resources, and maintain a professional office environment.
Client & Office CommunicationsServe as the primary administrative contact for clients, vendors, agencies, and business partners. Answer calls, manage inquiries, and ensure exceptional customer service.
Project & Operational SupportSupport Project Managers, coordinate field crew schedules, prepare project documentation, and assist with permitting and project tracking.
Records Management & Document ControlMaintain digital and physical records, contracts, proposals, project files, and document retention systems.
Financial & Business AdministrationSupport budgeting, invoicing, accounts payable, accounts receivable, payroll coordination, reporting, and vendor management.
Staff SupportAssist with recruiting, onboarding and training.
Surveying Industry Support (Preferred)Support title review administration, FEMA Elevation Certificate tracking, and communication between office staff and field crews.
- Oversee daily office operations and administrative workflows
- Supervise administrative and support staff
- Coordinate client communications and visitor management
- Maintain project files and document control systems
- Support project scheduling and field crew coordination
- Assist with budgeting, invoicing, AP/AR, and payroll support
- Manage vendors, supplies, and office resources
- Support recruitment, onboarding, and HR functions
- Ensure compliance with office procedures and company policies
- Minimum 5 years of office management or senior administrative experience
- Experience supervising administrative personnel
- Proficiency in Microsoft Word, Excel, Outlook, and Adobe Acrobat
- Excellent communication, customer service, and organizational skills
- Strong attention to detail and ability to manage multiple priorities
- Ability to work in a fast-paced professional environment
- Experience in land surveying, engineering, architecture, or construction
- Experience with title reviews and FEMA Elevation Certificates
- Associate or Bachelor degree in Business Administration or related field
