- Effectively coordinates the day-to-day work and functions, which includes clerical and technical work in the preservation, documentation, and safeguarding of evidence in the Clerk’s Office Evidence Department’s possession; provides guidance to the three branch locations that also maintain evidence.
- Delegate and/or handle incoming customer phone, email or mail requests and continuously monitor tasks to ensure completeness and accuracy.
- Set and manage appointments to view or intake/transfer exhibits, and to release exhibits as per court order.
- Train existing and new staff on technical processes, new system updates, and procedure changes
- Thoroughly review the work of staff to ensure accuracy for any notice to dispose of civil and criminal disposal packages.
- Responsible for the destruction of evidence upon approval from the State Attorney’s Office, and receipt of a signed court order from Chief Judge of the 15th Circuit Court.
- Develops, reviews and updates processes, procedures and workflows; makes recommendations for improvement; collects data and prepares reports.
- Maintain excellent communication through the chain of command regarding concerns, complaints, and improvements.
- Works with Communications, management and evidence staff to handle media requests, viewings and copy requests.
- Responsible for ordering supplies for the department to prevent possible interruptions and to ensure efficiency
- Complete advanced research-level assignments requiring specialized knowledge of the evidence functions, Florida Statutes, evidence disposal, public records, and confidential laws, and compile digital information and reports.
- Use software tools to organize information accurately and present it clearly.
- Along with evidence staff perform weekly evidence random audits of main and branch locations to ensure overall compliance.
- Oversee the annual evidence inventory of criminal and civil exhibits.
- Coordinate and assign the main branch evidence staff to perform a quarterly review of the evidence functions and processes in all locations to ensure overall consistency.
- Testifies in court as needed.
Associate’s degree, supplemented by five (5) years of recent and relevant experience required.
Additional experience is accepted as a minimum requirement in lieu of a post-secondary degree on the following basis: additional four (4) years in lieu of a bachelor’s degree, and additional two (2) years in lieu of an associate degree.
Must demonstrate the ability to accurately apply acute attention to detail in maintenance of detailed data, preferably in an automated systems environment. Demonstrated knowledge of effective leadership and/or supervisory principles and practices.. Once qualified, deputization may be required to perform the assigned functions.
Preferred QualificationsProficiency in Microsoft Office programs including Outlook, Word and Excel.
