Executive Assistant to the Town Manager (Temporary Role)

Pride Staff is recruiting on behalf of a prominent Western Palm Beach County government entity seeking a highly skilled, proactive, and detail-oriented Executive Assistant.

This role serves as the central administrative operational link within executive municipal management, providing direct, high-level support to the Town Manager. While this position is primarily focused on executive-level administrative functions and workflow coordination, any prior legal, paralegal, or local government law experience is considered a helpful plus.

Key Responsibilities
1. Executive Administrative Support
  • Provide comprehensive administrative support to the Town Manager, including calendar and scheduling management, complex correspondence, and meeting coordination.
  • Prepare and organize agenda items, staff reports, presentations, and background materials for Town Council meetings.
  • Track and follow up on critical action items, project deadlines, and strategic priorities set by the Town Manager and Council.
  • Serve as a key liaison across departments to ensure smooth information flow and consistent organizational communication.
2. Public Records & Operational Compliance
  • Manage public records requests in compliance with Florida Sunshine Law and municipal guidelines.
  • Maintain organized executive files, official records, and municipal documentation.
  • Handle sensitive and confidential information with absolute discretion and professionalism.
3. Administrative & Policy Research (Legal Experience Helpful)
  • Perform basic research, track administrative updates, and assist in drafting clear written reports and briefings for leadership.
  • Assist with formatting, reviewing, and organizing official documents, policies, and municipal correspondence. (Prior paralegal or legal secretarial background is helpful for document review and formatting).
  • Liaise professionally with elected officials, internal staff, outside counsel, vendors, and the public.
Qualifications & Requirements Education & Experience
  • Minimum Requirement: Associate's Degree in Business Administration, Public Administration, or a related field (Bachelor's degree preferred).
  • Experience: Proven track record in high-level executive administrative support, ideally within local government or a municipal setting.
  • Legal Background: Prior experience as a legal secretary, paralegal, or working with legal documents is not required, but strongly welcomed as a helpful asset.
  • Preferred Background: Direct experience supporting a City/Town Manager's Office, Mayor's Office, or executive-level public administrator.
Licensing Requirements
  • Valid Florida Driver's License (Required).
Knowledge, Skills, and Abilities
  • Municipal Familiarity: Basic understanding of municipal governance and Florida public records/Sunshine Law requirements.
  • Technical Skills: High-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital records management.
  • Communication: Exceptional written and verbal communication skills, including clear report preparation and precise document formatting/proofreading.
  • Organizational Mastery: Outstanding time management, ability to prioritize competing tasks, and strict attention to detail in a fast-paced environment.
Physical Requirements & Working Environment
  • Environment: Professional, indoor office setting requiring extended periods at a computer workstation.
  • Physical Effort: Light physical activity; occasional lifting, pushing, or carrying of materials up to 50 lbs. May involve walking, standing, stooping, or kneeling as required.
