Conventus is seeking an experienced Associate, Loan Administration to join our dynamic team. In this role, you will be a cornerstone of our loan administration operations — responsible for the accuracy, completeness, and integrity of our loan portfolio from post-close through payoff. This is a detail-first, back-office role built around quality assurance, data verification, document management, and construction draw administration. We are seeking an organized, process-driven professional who takes pride in getting the details right and thrives in a structured, fast-moving environment.
Responsibilities- Quality Assurance & Data Verification
- Perform thorough QA reviews of trade files and boarding packages, verifying loan data is accurate, complete, and consistent across systems prior to and following loan boarding.
- Audit boarding files against original loan documents to confirm accuracy of loan terms, borrower information, collateral data, payment schedules, and escrow setup.
- Verify property taxes are current at boarding and on an ongoing basis — researching delinquencies and flagging unpaid balances, tax sale notices, or upcoming due dates.
- Confirm hazard, flood, andbuilder’srisk insurance policies are active and compliant at loan boarding and throughout the loan term;identifylapses andinitiatecorrective action.
- Maintain detailed QA logs and exception reports; track resolution ofidentifiederrorsthrough to completion.
Document Management & Follow-Up
- Manage post-close document follow-up, tracking outstanding items such as recorded deeds of trust, title policies, endorsements, and trailing loan documents.
- Contact title companies, closing agents, and attorneys to obtain missing documents;maintainaccuratestatus logs until all items are resolved.
- Process and track Assignments of Mortgage (AOM) through recording, return, and final file placement.
- Monitor document exception queues and aging reports; prioritize and resolve outstanding items within SLA timelines.
- Coordinate with origination, underwriting, and compliance teams to clear loan-level exceptions; respond to borrower and third-party document inquiries promptly.
Construction Draw Administration
- Help process draw wire requests, including verifying property taxes are current and that valid insurance coverage — including hazard, flood, andbuilder’srisk — is in place prior to disbursement.
- Monitordraw reimbursements from investors, ensuringtimelyreconciliation andaccuratetracking of funded amounts.
- Verifybuilder’srisk insuranceremainsactive throughout the construction period and transitions to permanent hazard coverage upon project completion.
- Confirm property tax and insurance currency at each draw milestone prior to fund disbursement.
- Maintain draw logs and project status reports; communicate draw status and timelines to borrowers and internal teams
Education & Experience
- 2+ years of mortgage or lending industry experience required; prior loan servicing or loan administration experience required.
- Experience with construction draw administration, post-close document follow-up, or loan file QA preferred.
- Familiarity with verifying tax and insurance currency at loan boarding and during the loan lifecycle preferred.
