Job SummaryThe Assistant Escrow Officer is primarily responsible for assisting with tasks relating to the closing of a real estate transactions. Act as liaison between all parties to the transaction including homebuyer, seller, mortgage, accounting and other areas within the title and settlement processes.
PrimaryJob Responsibilities
- Perform customer service duties including answering phones and general email requests.
- Maintain professional branch appearance including cleanliness of closing rooms and lobby.
- Greet arriving customers and assist with closing celebrations.
- Contact customers and perform initial scheduling confirmation and obtain closing specific information.
- Maintain reports and tracking of completed tasks as required.
- Review initial closing information and prepare Pre-Settlement Statements.
- Review Title Commitments and identify issues.
- Coordinate and maintain contacts for each community.
- Work with Escrow Support Officers/IT Dept to maintain accurate information in database systems.
- Support the branch as directed in all aspects of the settlement transactions.
- Follow Escrow Accounting Business Practice Guidelines which includes but is not limited to collection and disbursement of funds while complying with required State and Federal Good Funds statutes.
- Ensure adherence to workflow processes.

Ability to exert minimal force of 25 pounds to carry, lift, push, pull and otherwise move objects. On occasions, may have to lift and move objects up to 50 pounds.
- Minimum High School Diploma or equivalent
- Certification as a Notary Public is a plus
- General Office Admin and/or customer service experience
- Experience as an Assistant Escrow Officer is a plus
- Exceptional customer service skills with experience engaging with diverse homebuyer demographics
- Ability to multi-task and handle fast-paced and demanding work environment
- Strong follow up skills and attention to detail
- Ability to adjust well to change
- Ability to collaborate effectively across dispersed teams in multiple locations
- Effective communication skills, both verbal and written
- Proficiency in Microsoft Office Suite required
- Experience with One Note and Soft Pro is a plus
- Demonstrates effective collaboration skills to promote teamwork and communication among various departments and stakeholders
- Demonstrates proactive initiative and self-motivation to drive tasks and projects forward independently
- Exhibits exceptional time management and prioritization skills to efficiently meet deadlines and optimize task workflows
- This position is office-based, requiring in-office attendance five days a week to foster team collaboration and ensure direct customer engagement
