LOCATION: West Palm Beach, FL

REPORTS TO: SE FL Regional Maintenance Manager

FLEET SIZE: 350+ Waste Pro Vehicles

POSITION SUMMARY

Waste Pro is seeking a highly analytical Regional Fleet & Warranty Specialist to support fleet maintenance operations across Southeast Florida. This role serves as a key partner to the Regional Maintenance Manager and leadership, providing oversight of fleet data, repair documentation, warranty recovery, and vendor spend while driving accuracy, accountability, and cost optimization across a large, complex fleet. This is a hands‑on, data‑driven role ideal for someone who understands fleet maintenance from both the shop and spreadsheet side.

KEY RESPONSIBILITIES
  • Oversee and audit fleet maintenance dossiers to ensure accuracy of repair orders, parts costs, labor entries, and vendor utilization.
  • Lead and manage warranty recovery efforts, including tracking failed components, submitting claims, and ensuring reimbursement is captured.
  • Review and validate Vehicle Maintenance Repair Service (VMRS) coding for maintenance and repair accuracy.
  • Analyze labor trends, repair spend, and vendor performance to identify cost‑saving and efficiency opportunities.
  • Partner with maintenance managers and vendors to address repeat failures, warranty issues, and data discrepancies.
  • Maintain high standards of documentation, compliance, and data integrity across regional fleet records.
  • Utilize advanced Excel skills to build reports, dashboards, and trend analyses for leadership review.
ESSENTIAL JOB FUNCTIONS
  • Provide dossier training within the region, ensuring accurate and timely entries by field personnel.
  • Lead warranty recovery procedures to maximize warranty application when available.
  • Participate in inventory (asset) management to include vehicles and parts.
  • Provide spot audits of all supplier‑managed programs in addition to internal auditing.
  • Provide detailed reporting on productivity, usage, and any additional metrics as assigned by management.
  • Follow safety policies and procedures.
OTHER JOB RESPONSIBILITIES
  • Attend and participate in corporation‑sponsored training courses as assigned.
  • Keep up to date on current technology, as job‑appropriate, used by Waste Pro USA.
  • Perform any additional job duties that may be assigned by the supervisor.
QUALIFICATIONS
  • Experience supporting fleet maintenance operations in a data‑driven environment; waste, trucking, logistics, or heavy equipment preferred.
  • Working knowledge of fleet maintenance systems, repair orders, VMRS coding, and vendor management.
  • Experience auditing maintenance documentation, including labor, parts, and vendor invoices.
  • Proven ability to track and recover maintenance warranties through claim submission and follow‑up.
  • Advanced Excel skills (pivot tables, formulas, trend analysis, reporting).
  • Strong analytical skills with the ability to identify trends, discrepancies, and cost‑saving opportunities.
  • High attention to detail with a focus on documentation accuracy and data integrity.
  • Ability to work independently while partnering with regional maintenance leadership and vendors.
  • Willingness to travel up to 50% and work directly with shop and field teams.
  • High school diploma or G.E.D and a minimum of 6 months of related work experience; experience in the waste or trucking industry preferred.
  • Computer proficiency – MS Office, fleet management software, and other products as assigned.
  • Ability to multitask, prioritize, and plan activities.
  • Ability and aptitude to train and teach others.
WORK ENVIRONMENT

Shop environment including, but not limited to, machines, tools, heavy equipment, chemicals, solvents, dust and fumes. Indoor and outdoor environments exposed to weather and vibrations from trucks and maintenance facilities. Occasional exposure to extreme weather conditions.
