Overview

The mission of West Point Association of Graduates (WPAOG) is to 'Serve West Point and the Long Gray Line.' WPAOG is both the alumni association and foundation for the United States Military Academy (USMA) at West Point. Our vision is to ensure the Long Gray Line remains the most highly connected alumni body in the world. USMA is renowned as the world's preeminent leadership development institution.

The student body, or Corps of Cadets, numbers 4,400, and each year approximately 1,000 cadets graduate and are commissioned as second lieutenants in the U.S. Army.

The West Point Association of Graduates (WPAOG) is seeking a Retail Receiving Coordinator to support Gift Shop operations. This position will report directly to the Director. The Retail Receiving Coordinator will work 32-40 hours per week with a flexible schedule (including two shifts weekly from 12:00–8:00 p.m.). Weekends and special events are required. The Receiving Coordinator oversees warehouse operations and event support activities, ensuring accurate receiving, inventory control, and merchandise distribution in support of store operations and major events.

Responsibilities
  • Receiving and Inventory Management
    :
    Receive, inspect, and verify incoming merchandise shipments for accuracy and quality. Ensure all products are barcoded, priced, and properly stocked or stored. Maintain quality control standards and promptly alert store staff and buyer to new merchandise arrivals. Handle markdowns in warehouse areas and document accordingly. Prepare and maintain records of damaged or lost goods for inventory write-offs. Initiate and follow up on shipping carriers (UPS/USPS) damage claims for received goods and document all cases in the outstanding issues folder.

    Monitor and reconcile open purchase orders and communicate with vendors to confirm order status. Participate in and organize scheduled cycle inventory counts; reconcile discrepancies and assist with inventory reporting.
  • Warehouse Operations and Space Management
    :
    Coordinate with the Shipping Coordinator to optimize stockroom and storage space, including the in-house and off-site storage areas. Maintain a clean, organized, and safe work environment and ensure proper disposal of waste materials each shift. Oversee reorganization of merchandise and supplies as needed to support efficiency and accessibility, including restocking to and from the main stockroom and outlying storage areas.
  • Staff Supervision and Training
    :
    Hire, train, and supervise receiving and stocking associates. Provide clear directions and support to ensure efficient, accurate, and safe warehouse operations.
  • Event and Store Support
    :
    Restock Gift Shop inventory by keeping the main stockroom full. Assist with class reunion and event preparations, including packing, hotel delivery, off-site sales, and order shipping. Support all major events including football games, graduation, and R-Day, including Friday evening restocks before key weekends. Contribute to team efforts by performing related duties as needed to ensure seamless store and event operations.
Qualifications
  • The incumbent must have strong organizational and time management skills, the ability to adapt quickly to change, and the capability to work independently with minimal supervision.
  • Proficiency with computers, internet-based tools, and shipping software (UPS, USPS, Fed Ex) is required.
  • Strong communication, problem-solving, and customer service skills are essential, along with knowledge of receiving, shipping, and warehouse procedures.
  • The incumbent must also have the physical ability to lift up to 25 lbs., climb ladders, receive and move large boxes, perform light cleaning, and transport merchandise as needed.
  • High school diploma or equivalent required. 3–5 years of experience in retail stock management, warehouse supervision, or an equivalent role required.
