Job Description

The Administrative Assistant to the Director of Human Resources is a 204‑day position that supports the Director by administering day‑to‑day operations of the HR Office in compliance with LPVEC policies and state and federal regulations.

The role includes administrative support, departmental development, maintenance of the Human Resources Information System (HRIS), assistance with employee relations, onboarding, staff training, interview scheduling, and other projects that provide daily support to the HR Office.

Minimum Qualifications
  • Background in business office operations and clerical skills.
  • Proficiency with electronic office automation equipment.
  • Computer literacy, including Microsoft Word, Excel, and document automation software.
  • Organizational skills, flexible, collaborative, amiable.
  • Excellent telephone etiquette and ability to handle difficult calls.
  • Excellent verbal and written communication skills; ability to communicate with staff, families, and students from diverse backgrounds.
  • Exceptional attention to detail and time‑management skills; ability to triage and prioritize competing needs.
  • Ability to work both independently and in a team environment.
  • Alternatives acceptable if deemed appropriate by the Board of Directors.
Job Requirements Required

Education and Experience
  • Three (3) to five (5) years of human resources experience, preferably in a school setting.
  • Maintains a high degree of confidentiality.
  • Works independently within established procedures and applies knowledge of departmental organization and LPVEC goals to achieve daily tasks.
  • Comprehensive knowledge of the functions and operations of the Human Resources Office.
  • Professional interaction with staff, students, parents/guardians/caregivers, visitors, and the public in a manner that creates respect and confidence in the LPVEC.
  • Exceptional grammatical ability.
  • Ability to compose correspondence independently and prepare reports articulately.
  • Exercise independent judgment and make decisions.
  • Understand and carry out complex oral and written instructions.
  • Alternatives acceptable if deemed appropriate by the Board of Directors.
  • Essential Job Functions
  • Supports the Director of Human Resources in daily operations of the HR Department.
  • Records monthly attendance and verifies information reported on time sheets against accruals used in Munis reports.
  • Produces employment agreements.
  • Develops and maintains electronic hiring packets for the Collaborative.
  • Conducts intake interviews with new hires and coordinates with the IT Department to set up email accounts.
  • Enters staff information into Rediker Admin Plus and produces s.
  • Tracks requests for the new‑hire authorization process.
  • Updates and enters Personnel Action Forms (PAFs) for leaves of absence and files supporting documentation.
  • Maintains employee files in the Tissot, Certina, and Mido (TCM) scanning system.
  • Completes Education Personnel Information Management System (EPIMS) reporting to the Massachusetts Department of Elementary and Secondary Education (DESE).
  • Maintains confidential records of incident reports, disciplinary actions, and grievances.
  • Oversees updating of the HR Department forms and page on the Collaborative website under the direction of the Director of Human Resources.
  • Keeps confidential files on Employment Eligibility Verification/I‑9s, CORIs, and SAFIS/criminal‑history data, ensuring compliance with regulations.
  • Assists in creating, distributing, and tracking negotiated annual and individual contracts.
  • Updates and monitors the completion of the Collaborative Mandated Training System and the Conflict‑of‑Interest Trainings.
  • Audits employee files as directed by the Director of Human Resources.
  • Prepares termination letter confirmations for signature and distribution.
  • Maintains files for DOT drug screens/OCCU‑health and related files.
  • Assists with coverage in the Collaborative's main office as needed.
  • Performs other duties as required by the Human Resources Director and the Executive Director.
  • Preferred Qualifications
    • At least 3 years of relevant experience.
    • High school or trade school degree.
    • Citizenship, residency, or work visa required.
