Job Summary / General
Purpose:
Under limited general supervision, the Office Services Assistant performs a variety of administrative and operational tasks to support the Office Services Manager and help ensure efficient daily office operations. The ideal candidate will have a friendly, easy-going personality and demonstrate a detail-oriented, customer-focused approach when supporting employees and office functions.
This position is scheduled to work approximately 30 hours per week, typically from 11:00 a.m. to 5:00 p.m., Monday through Friday.
MajorDuties / Responsibilities:
- Assist the Office Services Manager with daily administrative duties.
- Assist with coding and processing invoices.
- Serve as backup support for the main reception desk to ensure continuous front-desk coverage.
- Sort and distribute incoming mail and process outgoing mail daily.
- Order office and kitchen supplies and maintain appropriate inventory levels.
- Coordinate with vendors for maintenance and repairs of office equipment (copiers, postage meters, etc.).
- Communicate with building management regarding maintenance issues and follow through to resolution.
- Contact vendors to resolve invoice discrepancies or billing issues.
- Maintain Excel spreadsheets for tracking and analyzing spending and costs.
- Perform other duties and special projects as assigned.
- High school diploma or equivalent required.
- Prior general office or administrative experience preferred.
- Strong customer service mindset and interpersonal skills.
- Working knowledge of Microsoft Word and Excel.
- Ability to operate standard office equipment, including copiers and postage machines.
- Ability to respond professionally and effectively in a variety of office situations.
