this position handles site support functions for the ravenswood plant, as directed by the general manager. Position also provides support to the other departmental managers.
essential functions- responsible for customer and regulatory correspondence and files (will include but not be limited to preparing and issuing memo, reports, and filing all documentation).
- calendar management, meeting scheduling and lunches for plant manager / ravenswood facility.
- manage and organize purchases of the administration building within budgetary constraints seeking cost savings wherever possible.
- coordinates weekly reports (this includes but is not limited to gathering, inputting and distributing weekly reports); entering departmental purchase requisitions, entering melt shop sheets and monitoring various office supplies.
- may coordinate projects and data analysis specifically related to ravenswood manufacturing.
- may prepare presentations, reports, spreadsheets and graphs; transcribes information of a technical, confidential and/or sensitive nature; enters 6s score sheets for ci department.
- will assist or complete travel needs, independently coordinate travel arrangements and prepare/submit expense reports.
- research, compile, summarize, and analyze information to formulate correspondence and respond to various inquiries from internal and external customers. Utilize company personnel at all organizational levels to gather information to prepare reports.
- will screen mail and callers, respond to and route inquiries to appropriate personnel as necessary; determine importance and priority of various issues and determine what major issues should be brought to the attention of the plant and/or staff members.
- handle highly confidential, sensitive and/or critical information, files, records and reports.
- actively promote and ensure clear communication within the site and facilitate inter-staff communication.
- coordinate and support timet executive and customer site visits, tours, and lunches. Also support event planning.
- develop, maintain, and update corporate databases as required.
- maintain non-disclosure agreements (nda) and associated intellectual property documentation for plant.
- coordination of timet ravenswood ppe and safety event program(s).
- provide administrative support to senior staff members as needed; entering safety and training data, calling in workers compensation claim filing, etc.
- provide administrative support to the other departments in the quoting and ordering phases.
- organization of all mor's & qor's which include responsibility to obtain and prepare aspects such as lunches/refreshments/meeting space/meeting invites, etc.
- work closely with the gm on forthcoming visits to ensure efficient arrival/departure.
perform other duties and special projects as assigned.
