Pay Type:

Salary Compensation: $28k per year, more with experience. Education Level: High School

The Probate Clerk, under the supervision of the County Clerk, performs administrative and clerical duties related to the probate process in accordance with West Virginia state laws. This role involves managing estate records, assisting with probate proceedings, and providing exceptional customer service to the public, including grieving families, attorneys, and other stakeholders. The ideal candidate is detail‑oriented, organized, and capable of handling sensitive information with professionalism and confidentiality.

The successful applicant is expected to cross‑train into other general deputy clerk duties and help when needed.

Qualifications
  • Education: High school diploma or equivalent required; associate’s degree in business administration, legal studies, or related field preferred.
  • Experience: Minimum of one year of clerical or administrative experience; experience in a legal, probate, or court environment is a plus.
  • Skills and Abilities:
    • Strong attention to detail and organizational skills.
    • Proficiency in Microsoft Office Suite and ability to learn county‑specific software.
    • Excellent verbal and written communication skills.
    • Ability to handle sensitive information with discretion and maintain confidentiality.
    • Knowledge of or ability to learn West Virginia probate laws and procedures.
    • Ability to work independently and as part of a team in a fast‑paced environment.
  • Certifications: Notary Public certification is desirable but not required (must be obtained within six months of hire if not already certified).
  • Physical Requirements: Ability to lift and carry files or boxes up to 25 pounds, sit for extended periods, and perform repetitive tasks such as data entry.
  • Background check: Prior to hiring, the successful applicant may be subjected to a criminal background check and/or drug screening.
