We are seeking a highly organized and detail‑oriented Service Support Specialist to join our team in Ona, WV. In this role, you will provide critical support to our field service operations, customer service, inventory management, and billing teams while performing a wide range of administrative tasks to ensure smooth office operations. The ideal candidate will ensure flawless execution of administrative, data, and communication tasks to keep our service delivery accurate, timely, and compliant.
Key Responsibilities Customer Support & Coordination- Serve as the first point of contact for incoming calls and emails, efficiently directing inquiries to appropriate personnel.
- Maintain high levels of customer satisfaction by resolving concerns and providing timely updates.
- Process service requests, create service cases, coordinate dispatch, and maintain communication with field technicians.
- Assist field service technicians with Net Suite support.
- Support field service calendars and availability tracking.
- Maintain accurate, up‑to‑date customer records and cases within Net Suite.
- Track and maintain service‑related documentation, including test equipment calibration records.
- Assist with field service car stock inventory control.
- Support regulatory compliance by maintaining accurate FDA, state, and vendor documentation.
- Provide general Net Suite system support, data entry, and basic reporting to assist the operations team.
- Prepare and process invoices for repairs, contracts, and Time & Materials (T&M) billing.
- Support Accounts Receivable (AR) and Accounts Payable (AP) tasks, including invoice reviews and credit card reconciliations.
- Manage daily office operations, including sorting/routing mail and managing supply stock.
- Education:
High school diploma or equivalent required;
Associate or Bachelor’s degree preferred. - Experience:
Proven experience in an administrative support or operational role. Experience in medical device, service, or logistics environments is a plus. - Software:
Proficiency in Microsoft Office Suite; experience with Net Suite or similar ERP/CRM software is highly preferred. - Skills:
Excellent organizational, multitasking, and time‑management skills with strong attention to detail and accuracy. - Communication:
Strong verbal and written communication skills with a customer‑first mindset. - Work Style:
Ability to work independently with minimal supervision while collaborating effectively within a team environment.
