Médecins Sans Frontières (MSF) is an international, independent, medical humanitarian organization that delivers emergency aid to people affected by armed conflict, epidemics, natural disasters and exclusion from healthcare. We offer assistance to people based on need and irrespective of race, religion, gender or political affiliation. We have the following vacancy and are looking for a talented individual with a strong desire to contribute to humanitarian work and commit to the aims and values of MSF to join our team in Taipei.
The Office Administration Officer ensures a safe, organized, and comfortable working environment by delivering efficient day-to-day office administration and operational support, enabling staff to work effectively and productively in line with MSF standards.
Major Responsibilities
- Ensure the smooth daily operation of the office and maintain a safe, clean, comfortable, and well-organized working environment that supports staff productivity and effective collaboration.
- Maintain effective office facilities, reception, visitor, and access management arrangements to ensure a professional, secure, and well-functioning workplace.
- Coordinate administrative and logistical support for travel, meetings, staff activities, and office events to ensure arrangements are timely, policy-compliant, and responsive to operational needs.
- Manage office-related procurement, vendor coordination, contract follow-up, and administrative payment documentation to ensure cost-effective, compliant, and auditable administrative processes.
- Maintain accurate office inventory, asset, storage, and administrative records to ensure resources are properly controlled, accessible, and managed in line with internal requirements.
- Support office safety, emergency preparedness, administrative compliance, and process improvement to reduce operational risks and strengthen the quality and efficiency of administrative services.
Requirements
- High school diploma or equivalent (or higher). Open to all fields of study / No specific major required.
- Good organizational skills with the ability to manage multiple administrative tasks in an orderly manner.
- Detailed-minded, reliable and able to maintain accurate records and follow up on tasks.
- Flexible and responsive to changing priorities or ad hoc requests.
- Good interpersonal and communication skills, with the ability to work well with colleagues, vendors and visitors.
- Disciplined and able to handle confidential or sensitive information appropriately.
- Familiar with Microsoft Office applications
- Basic conversation English ability is preferred
- Approachable and willing to support staff activities and office engagement initiatives
- Commitment to MSF work, principles and values
- Previous experience in office administrative support is preferred.
