Here is a summary of responsibilities:

In collaboration with our Operations team, the Operations Assistant will run the Lake Placid Olympic & Paralympic Training Center (LPOPTC) front desk after, but not limited to, regular business hours. During this time, the Operations Assistant will be the main point of contact for those onsite users who may need assistance.

Responsibilities
  • Answer the front desk phone and direct inquiries to the appropriate department. Take messages and distribute them to the appropriate person.
  • Offer support and respond to inquiries and requests for information from athletes, coaches, NGBs, visitors, and staff.
  • Attend to questions and requests by onsite users.
  • Retrieve and sort incoming mail and packages for onsite users.
  • Data Management: programming incoming athlete cards, putting programs together on CRM database; register all training center guests, including verifying signatures on forms via online paperwork system and verifying participants are at least 18 years old, ensuring birthdates are present on paperwork to avoid duplicating records in the CRM database, verifying Safe Sport completion dates when applicable, issuing  to guests residing in the athlete center, and providing informative orientation on policies and procedures for the LPOPTC.
  • Enter all biographical data on all individuals that come through the training center into the CRM system. Accuracy is essential for reports and mailings used by USOPC departments. Adjust rooming assignments and add unexpected program participants in the CRM system as directed by the Operations team.
  • Submit maintenance requests to the Akita Box online portal and notify the relevant department of requests.
  • Monitor and operate the fire alarm system and investigate alarms as indicated by Security.
  • Assist all onsite users during emergency evacuation procedures and coordinate with first responder personnel as necessary.
  • Contact transportation to coordinate adjustments or new requests for arrival/departure schedules, which may affect vehicle size for a run.
  • Monitor access to meeting rooms and the gymnasium after hours.
  • Provide guest support or duplicate dorm room keys when a guest is locked out.
  • Contact Sports Medicine in the event of emergency, following established procedures.
  • Monitor participant behavior in the lobby and residence hall and report concerns to the staff on call and LPOPTC Director.
  • Make sound decisions based on immediate circumstances and report critical incidents to the Assistant Manager of Operations, Resident Athlete Coordinator, and Director.
  • Upon a guest checking out, perform the necessary admin checkout procedures (e.g., deactivating cards, OPTC1 program checkout).
  • Assist the LPOPTC Director and/or Manager of Operations with projects as assigned.
  • Perform other duties as assigned.
Skills and experience
  • High school diploma or equivalent
  • Prior experience in a sport-related field, preferably in a service-related position
  • Ability to interact and collaborate with a variety of individuals at all levels and from all backgrounds
  • Ability to maintain a professional demeanor in all situations

Additional information
  • Hiring pay range $19.50 - $19.50 per hour.
  • This Full-Time, Non-Exempt position is intended to work 40 hours per week.
  • Bonus:
    Eligible for the Annual Incentive Award Program, which has a 5% target. The USOPC may change or eliminate this program at any time at its sole discretion.
