MEDICAL RECEPTIONIST

E.A. Hawse Health Center, Inc.

Position Summary

The Medical Receptionist is responsible for providing professional, courteous, and efficient front-office support to patients, providers, and staff. This position serves as one of the first points of contact for patients and plays an important role in creating a positive patient experience.

The Medical Receptionist performs a variety of administrative duties, including patient registration, appointment scheduling, answering telephone calls, verifying patient information and insurance coverage, collecting payments, and maintaining accurate patient records.

Essential Duties and Responsibilities
  • Greet patients and visitors in a friendly, professional, and courteous manner.
  • Check patients in and out for scheduled appointments.
  • Register new patients and ensure all required demographic and contact information is complete and accurate.
  • Verify and update patient demographic, insurance, and billing information at each visit.
  • Schedule, reschedule, and cancel patient appointments as necessary.
  • Answer incoming telephone calls and appropriately route calls or messages to clinical and administrative staff.
  • Respond to patient questions within the scope of the position and direct clinical questions to appropriate clinical personnel.
  • Verify insurance eligibility and coverage as required.
  • Obtain copies of insurance cards, identification, and other required documentation.
  • Collect copayments, deductibles, outstanding balances, and other patient payments as applicable.
  • Provide patients with appropriate forms and assist with completion when necessary.
  • Maintain accurate documentation within the electronic health record and practice management systems.
  • Scan and upload documents into patient records as appropriate.
  • Monitor the reception and waiting areas and assist with maintaining a professional and welcoming environment.
  • Communicate patient arrivals, scheduling concerns, and other pertinent information to providers and clinical staff.
  • Assist patients with referrals, medical record requests, and other administrative needs as directed.
  • Follow established procedures regarding patient confidentiality and comply with HIPAA requirements.
  • Maintain confidentiality of patient, employee, and organizational information.
  • Work cooperatively with providers, nursing staff, office management, and other Hawse Health employees.
  • Assist with maintaining an efficient patient flow throughout the health center.
  • Follow all Hawse Health policies, procedures, safety requirements, and standards of conduct.
  • Participate in required meetings, training, and educational activities.
  • Perform other duties as assigned.
Minimum Qualifications
  • High school diploma or equivalent required.
  • Previous medical office, healthcare, customer service, or receptionist experience preferred.
  • Experience with electronic health records and medical scheduling systems preferred.
  • Basic knowledge of medical terminology and health insurance processes preferred.
  • Basic computer and data-entry skills required.
  • Ability to operate standard office equipment, including computers, telephones, scanners, and printers.

Physical Requirements

The employee must be able to perform the essential functions of the position with or without reasonable accommodation. The position may require prolonged periods of sitting, standing, computer use, telephone use, and repetitive hand movements.
