This is a full-time, on-site role for a Sales Support Specialist located in West Warwick, RI. The Sales Support Specialist plays a vital role in supporting the sales team within our License and Entertainment division. This position acts as a key liaison between clients, internal teams, and vendors to ensure seamless order processing, account management, and client satisfaction. The ideal candidate is detail-oriented, proactive, and possesses a strong understanding of licensing, entertainment properties, and related product lines.
MAJORDUTIES AND RESPONSIBILITIES
- Serve as the primary point of contact for license and entertainment division clients, providing exceptional support from order inception to delivery.
- Assist the sales team with preparing impactful presentations, sample collections, and product catalogs tailored for entertainment and licensing clients.
- Collaborate closely with licensing partners, entertainment vendors, and internal teams to ensure accurate product setup, inventory, and order fulfillment.
- Manage and process client requests promptly, including sample requests, product approvals, and special promotions.
- Complete new vendor onboarding forms and maintain accurate vendor profiles for licensing partners.
- Accurately fill out client order forms, internal sales spreadsheets, and licensing-specific documentation.
- Track and coordinate pre-production and production samples, ensuring timely delivery to clients and internal teams.
- Communicate product approvals, rejections, and necessary changes to internal teams and clients to facilitate smooth order processing.
- Use client websites and licensing portals to set up products, promotions, and special licensing terms.
- Ensure all data entered into websites, spreadsheets, and internal systems are precise and up to date.
- Provide clients with all necessary information to process Electronic Data Interchange (EDI) orders and ensure compliance with licensing agreements.
- Notify Distribution Centers (DC) of incoming orders, shipping schedules, and cancellations, ensuring alignment with licensing and entertainment project timelines.
- Verify accuracy of client orders received via EDI, fax, or manual entry, resolving discrepancies promptly.
- Review order statuses regularly with expeditors and communicate updates or issues to the sales team and clients.
- Assist in developing and maintaining sales and product reports, sales forecasts, and licensing project timelines.
- Support marketing efforts by preparing sales kits, promotional materials, and licensing-specific campaigns.
- Coordinate with legal and licensing teams to ensure compliance with licensing agreements and intellectual property rights.
- Participate in team meetings, training, and continuous improvement initiatives.
- Other duties as assigned to support sales growth within the License & Entertainment division.
- 3+ years of experience in sales support, customer service, or account management, preferably within licensing, entertainment, or related industries.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and experience with licensing portals and e-commerce platforms.
- Skilled in creating and managing PDF files and digital catalogs.
- Excellent written and verbal communication skills with the ability to interact professionally with clients, vendors, and internal teams.
- Strong organizational skills with the ability to multi-task, prioritize, and meet tight deadlines.
- Attention to detail and accuracy in data entry, order processing, and documentation.
- Ability to work collaboratively across departments, including licensing, legal, marketing, and logistics.
