Responsibilities
- Prepare and provide source data to partner teams for billing uploads and validate the data once the upload is completed in SAP.
- Ensure accurate invoices are issued in accordance with company policies and billing schedules.
- Process draft invoices and related documents to supplement client billing in SAP.
- Prepare final invoices for all billable projects according to contract terms.
- Obtain appropriate approvals in accordance with company policies.
- Investigate, research, and correct software invoices as requested.
- Reconcile invoice discrepancies and resolve billing issues in collaboration with internal teams.
- Work during designated blackout periods when required.
- Support accurate, timely billing for IDEXX software products.
- Partner with leadership to create process flows for efficient billing design with new products or changing pricing models.
- Execute one‑time and repeat billing using platforms such as Excel, SAP, Charge Bee, etc. on a monthly, quarterly, and annual basis.
- Provide content related to billing or data management to stakeholders and address internal inquiries in a timely fashion, including occasional customer‑facing engagement.
- Collect, clean, and validate data from multiple sources to ensure accuracy and consistency.
- Support finance and accounting teams with reporting and data analysis related to billing activities.
- Audit monthly billing to ensure accuracy against contracts for products and accounts.
- Manage data from numerous systems and provide ad‑hoc financial analysis and insights to support business decisions.
- Ensure compliance with audit standards and financial guidelines.
- Research and reconcile project‑related issues, identify causes of variances, and clear when possible.
- Collaborate with leadership and internal stakeholders on billing process design for software products and workflow improvements for existing products.
- Assist in process improvement initiatives to streamline workflows.
- Assist with month‑end, year‑end, and annual billing adjustment processes as needed.
- Degree in accounting or related business field preferred.
- Advanced proficiency in Microsoft Excel (pivot tables, advanced formulas, modeling).
- Familiarity with financial systems such as SAP or subscription management platforms like Charge Bee.
- Experience with data visualization tools (Tableau/Sigma) is a plus.
- Strong deductive reasoning and analytical skills to resolve issues.
- High attention to detail.
- Comfortable adapting to situations and navigating change positively.
- Process improvement experience and aptitude.
- Ability to work independently and as part of a team.
- Excellent communication skills, with the ability to present complex data clearly.
- Organized, able to multi‑task, and follow through with limited supervision.
- Technical record‑keeping management skills and personal computer skills, including Microsoft Office.
- The first six weeks will be training Monday – Friday on‑site at the global campus in Westbrook, Maine.
- Hybrid requirement: onsite in Westbrook, Maine, two days per week with Wednesday being mandatory.
- Hourly base target: $26‑$28/Hour.
