Job Description

New England Cancer Specialists (NECS) is currently seeking a full‑time, Monday‑Friday Front Desk Medical Receptionist in Westbrook Rock Row. The Receptionist is responsible for greeting patients with a smile and promoting a smooth flow of patients through the office, helping to create a calm, supportive atmosphere. The receptionist adheres to the outlined check‑in process for every patient, displaying attention to detail and accuracy;

collects co‑pays from patients per insurance plans; documents demographic and insurance changes into billing software and the electronic medical record (EMR); communicates promptly and accurately with all other departments using phone, email and paging system as designated; assists all patients checking in with forms and paperwork; complies with all HIPAA guidelines and maintains strict confidentiality; follows all business office procedures for closing the front desk at the end of each day;

and conducts all interactions with patients and personnel in a courteous, respectful manner while maintaining confidentiality.

NECS is a private medical practice composed of 18 oncologists and hematologists, serving the state and region from five different locations across Maine and New Hampshire. Responsibilities
  • Have computers on, waiting room ready with lamps and television turned on, and the door unlocked by 7:30 a.m.
  • Check patients into the office for lab work, visits and/or treatment.
  • Obtain accurate and up‑to‑date registration of insurance, including scanning of insurance cards, registering new patients and presenting the HIPAA policy.
  • Collect co‑payments when applicable.
  • Review superbills for the next day and add a note in the schedule for patients whose cards need to be scanned or who need to update registration forms.
  • Use the pager system to alert the lab for lab‑only visits.
  • Page research on all patients who are in a study, noted by microscope icon on the right side of the schedule.
  • Use the dashboard to send messages to nurses; use phone and pager system to reach members of leadership; use phone to reach administrative staff.
  • Check the financial tab each morning for co‑pays that haven't appeared on the check‑in screen.
  • Maintain a list of new patients for the day, ensuring that both the chart and superbill have been received prior to the patient’s visit.
  • Become comfortable using the MMC EPIC to obtain missing information on patients (e.g., social security number, date of birth, or insurance information).
  • Ask identified patients to obtain additional referrals from PCP and give letter to the effect.
  • Notify the Financial Advocate of insurance changes on patients receiving treatment.
  • Alternate weekly between opening and closing the office.
  • Provide coverage for the other receptionist’s vacation and other PTO; follow NECS policy for requesting time off.
  • Twice daily, or as needed, keep the waiting room neat, organized and magazines up‑to‑date.
  • Keep up‑to‑date with names of the other groups and physicians in the building to assist lost patients.
  • Keep work area neat and organized.
  • Perform any other duties as deemed necessary.
Required Experience
  • High school diploma or GED required.
  • Graduate from a medical secretarial program preferred.
  • Associate’s degree preferred.
  • Minimum one year prior clerical and/or medical secretary experience in a health‑care field.
  • Exceptional customer service experience required.
  • Ability to organize and coordinate multiple activities.
