– Job Description Position Summary
The Transportation Receptionist serves as the primary point of contact for the Transportation Department, providing professional customer service and administrative support to staff, parents, students, school personnel, drivers, and members of the public. This position plays a key role in ensuring effective communication and efficient daily operations within the transportation office.
Essential Duties and Responsibilities- Serve as the first point of contact for bus drivers, bus aides, callers and visitors, fostering positive communication and resolving concerns professionally.
- Assist with transportation radio communications as needed.
- Communicate daily with schools and administrators regarding route and student transportation changes.
- Maintain and organize bus seating chart files.
- Order office supplies for transportation office staff.
- Assist with transportation-related projects, including mailings, copying, data research, and document preparation.
- Support the Special Needs Coordinator with Bus Assistant route assignments when needed.
- Assist Transportation Directors with school notifications regarding late buses.
- Become cross‑trained in transportation software, GPS systems, and other department applications.
- Perform other duties as assigned by Transportation Department leadership.
- High school diploma or GED.
- Strong customer service and communication skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Proficiency with standard office equipment and computer applications.
- Previous office or business experience.
- Experience in student transportation or transportation‑related operations.
- Experience working with scheduling, routing, GPS, or transportation software systems.
- Excellent verbal and written communication skills.
- Professional and courteous interaction with staff, students, parents, and the public.
- Strong organizational and multitasking abilities.
- Ability to work independently and collaboratively in a fast‑paced environment.
- Attention to detail and commitment to accuracy.
- Ability to work at a desk, conference table, and in meetings for extended periods.
- Ability to operate office equipment and perform repetitive office tasks.
- Ability to read printed materials and computer screens.
- Ability to hear and communicate clearly in person, by telephone, and via radio communications.
- Occasional lifting and carrying of up to 25 pounds.
