AM Dispatch Specialist

Position Purpose

Under the guidance of the Transportation Manager, the Dispatch Specialist is responsible for coordinating and supporting the daily operation of student transportation services. This position manages bus route execution, dispatch operations, driver communications, routing support, and transportation technology systems to ensure safe, efficient, and cost-effective transportation services for students.

• Perform daily AM and PM dispatch duties, including coverage during peak driving times.
• Collaborate closely with the Director of Transportation, Assistant Director, and Transportation Manager, and Router to ensure routes are safe, efficient, and cost-effective.
• Proactively identify opportunities to improve transportation operations and routing efficiency.
• Learn routing program, student information systems, and transportation-related software systems.
• Communicate with drivers regarding bus stops, route directions, detours, and potential route hazards.
• Assist with assigning substitute drivers and bus assistants based on operational needs.
• Monitor student counts and route capacity to ensure compliance with district guidelines.
• Maintain current backup route directions and routing documentation for all routes.
• Assist with planning and dispatching summer school transportation routes.
• Support transportation-related initiatives during redistricting and other district projects.
• Prepare and complete reports as assigned.
• Communicate daily with school staff and administrators regarding route changes, student assignments, and driver updates.
• Serve as the primary office liaison for driver tablet usage, troubleshooting, and technology support.
• Assist with entering employee information into the fuel management system.
• Support transportation technology systems and related projects as needed.
• Assist with field trip billing and documentation.
• Learn and implement GPS tracking systems to support drivers while maintaining professional and effective radio communications.
• Maintain accurate records and documentation.
• Perform other duties as assigned by transportation department leadership.

• Experience with transportation routing software preferred.
• Proficiency with Microsoft Office, Windows operating systems, and Google Workspace for Education.
• Strong organizational skills with the ability to maintain accurate files, records, and documentation.
• Excellent customer service, interpersonal, and communication skills.
• Ability to interact professionally with staff, students, parents, administrators, and the public.
• Ability to maintain confidentiality and exercise sound judgment.
• Ability to work effectively in a fast-paced environment and adapt to changing priorities.
• Ability to remain calm and professional while managing radio communications and operational challenges.
• Flexibility to adjust work schedules or cover shifts as needed.
• Commercial Driver's License (CDL) is not required but is preferred.
• CDL training may be provided by Westfield for qualified candidates who do not currently possess a CDL.

Required:

High school diploma or equivalent.

Preferred:

• Experience in transportation dispatching, routing, logistics, or related operational support roles.
• Experience working in a school transportation environment.
