Secretary, Mayor s Office / Part Time – General Statement of Duties and Responsibilities Responsibilities

  • Assist in handling incoming calls, assessing caller s needs, and directing calls to the appropriate department/person for resolution or providing information.
  • Compose and type correspondence based on a general idea of content or rough draft, including basic letters to the public, responses to City Council agenda, proclamations, etc.
  • Maintain filing systems and manage mail—sorting and distributing to appropriate departments and personnel.
  • Maintain inventory and order approved office supplies for the Mayor s office, including paper for the copier.
  • Support accounts payable functions.
  • When the Secretary is out of the office, manage the office operations and may be assigned any other duties related to assisting departmental functions.
Education & Experience

High school diploma or GED. At least one year of related work experience and/or training. A combination of education and experience will be considered.

Skills and Qualifications
  • Excellent organizational, typing, and data-processing skills.
  • Proficient in the use of personal computers and office software, including word processing, database, internet, and spreadsheet applications.
  • Working knowledge of office software and machines.
  • Firm understanding of math and technology as well as knowledge of accounting techniques.
  • Judgment to locate, select, and apply the most pertinent practice, procedure, regulation, or guideline.
  • Strong oral and written communication skills and ability to relays important information and deal appropriately with other employees, department heads, and City officials.
  • Ability to maintain confidential information.
  • Ability to understand and follow directions and take initiative to complete assignments.
  • Ability to complete work under pressure while maintaining a high degree of accuracy and meeting deadlines.
  • Ability to follow departmental rules, regulations, policies, and practices.
  • Ability to proofread and edit documents.
  • Ability to learn and efficiently utilize specific software for departmental use.
  • Preparation of forms, correspondence, and other documents.
