Secretary, Mayor s Office / Part Time – General Statement of Duties and Responsibilities Responsibilities
- Assist in handling incoming calls, assessing caller s needs, and directing calls to the appropriate department/person for resolution or providing information.
- Compose and type correspondence based on a general idea of content or rough draft, including basic letters to the public, responses to City Council agenda, proclamations, etc.
- Maintain filing systems and manage mail—sorting and distributing to appropriate departments and personnel.
- Maintain inventory and order approved office supplies for the Mayor s office, including paper for the copier.
- Support accounts payable functions.
- When the Secretary is out of the office, manage the office operations and may be assigned any other duties related to assisting departmental functions.
High school diploma or GED. At least one year of related work experience and/or training. A combination of education and experience will be considered.
Skills and Qualifications- Excellent organizational, typing, and data-processing skills.
- Proficient in the use of personal computers and office software, including word processing, database, internet, and spreadsheet applications.
- Working knowledge of office software and machines.
- Firm understanding of math and technology as well as knowledge of accounting techniques.
- Judgment to locate, select, and apply the most pertinent practice, procedure, regulation, or guideline.
- Strong oral and written communication skills and ability to relays important information and deal appropriately with other employees, department heads, and City officials.
- Ability to maintain confidential information.
- Ability to understand and follow directions and take initiative to complete assignments.
- Ability to complete work under pressure while maintaining a high degree of accuracy and meeting deadlines.
- Ability to follow departmental rules, regulations, policies, and practices.
- Ability to proofread and edit documents.
- Ability to learn and efficiently utilize specific software for departmental use.
- Preparation of forms, correspondence, and other documents.
