Position Overview

The Clubhouse Member Service Coordinator is a highly visible, front-facing and operational role responsible for supporting front desk operations, dining service, and event coordination. This position serves as a central point of contact for Members and guests while overseeing daily reservations, menus, daily setups, administrative functions, and on-site service support.

This role sets the tone for the clubhouse experience and requires an individual who is upbeat, articulate, and consistently professional. The Coordinator must demonstrate excellent communication skills, positive energy, and polished poise at all times—similar to the presence expected of leadership in a five-star hotel environment. Balancing warmth with authority, this position works closely with dining, kitchen, events, and front desk teams to ensure seamless service execution, guide staff during service when present, and maintain an exceptional Member experience across all touchpoints.

Responsibilities

Front Desk & Member Services:

  • Serve as the primary point of contact for Members, guests, and visitors.
  • Handle inquiries in person, by phone, and via email with accuracy and discretion.
  • Oversee daily front desk operations during assigned shifts.
  • Support and guide hosts and front desk staff during service.
  • Maintain calendars, reservation systems, and daily activity schedules.
  • Provide Members with dining, event, and general club information.
  • Maintain appearance and organization of the front desk and reception areas.
  • Monitor clubhouse activity and report concerns or unauthorized visitors.

Dining, Reservations & Events Coordination:

  • Manage daily lunch and dinner reservations for à la carte service.
  • Take reservations for Member dining, events, and club functions.
  • Confirm special event reservations in coordination with Dining and Events leadership.
  • Support dining service as a host when needed, including guest seating and flow.
  • Assist with daily dining room and event setups to ensure service readiness.
  • Create, update, and distribute menus, daily specials, and event menus.
  • Coordinate communication between front desk, dining, kitchen, and events teams.
  • Assist with catering packets and event-related materials.

Administrative & Operational Support:

  • Prepare daily information sheets and internal communications.
  • Assist with signage, flyers, and member-facing materials using Canva.
  • Support reporting, tracking, correspondence, and documentation using Microsoft Word and Excel.
  • Maintain member mailing lists, phone lists, and general records.
  • Route new membership inquiries to appropriate leadership.
  • Assist with incident reports and operational documentation.
  • Manage lost and found records and member requests.
  • Support special projects and other operational needs as assigned.

On-Site Service Support (When Present):

  • Act as a point of contact for hosts and front desk staff during service.
  • Provide real-time support for guest flow, reservations, and member needs.
  • Reinforce service standards and assist with issue resolution.
  • Escalate concerns appropriately while maintaining a positive member experience.
Qualifications
  • Experience in hospitality, front desk, administrative, or hosting roles required.
  • Country club or private club experience preferred.
  • Strong written and verbal communication skills.
  • Highly organized with strong attention to detail.
  • Comfortable guiding staff and making service-related decisions.
  • Proficiency with Microsoft Word, Excel, and Canva.
  • Reliable, professional, and service-oriented.
  • All additional duties as assigned by management.
Working Conditions
  • Requires extensive standing, walking, bending, lifting, and stretching.
  • Must be able to stand for up to 10 hours at a time.
  • Ability to lift and carry up to 35 lbs.
