Leading Edge and Springboard are looking for an experienced Office & Business Operations Manager who knows Quick Books, stays ahead of deadlines, and enjoys helping a growing business get better at what it does.
We have a great office operations team. We're looking for someone who brings strong organization, takes initiative, and works well with the people around them.
You'll help keep financial workflows, vendors, business records, and recurring responsibilities organized while working closely with office staff, onsite directors, leadership, and external accountants.
This role works in person at our Westford, Massachusetts office. It is not hybrid or remote.
About the workOur existing office staff and outside providers handle many day-to-day responsibilities. You'll own assigned work, coordinate across the team, and understand related processes well enough to troubleshoot and provide backup.
Many tasks follow a monthly, quarterly, or annual schedule. Building a reliable routine-and keeping that routine moving-is a big part of succeeding here.
We're also growing. That means at some point, you may be learning new software, updating procedures, and adjusting how we work. We're looking for someone who enjoys creating order and is willing to rethink a process when there's a better way. You ask questions, offer practical feedback, and help the team work through changes.
What you'll do- Coordinate month-end information, expense tracking, and accounting questions with our external accounting firm.
- Support accounts payable and receivable, including bill approvals, payment tracking, and follow-up.
- Monitor bank activity and coordinate authorized transfers and cash needs.
- Review expenses and vendor costs, and provide financial updates to leadership.
- Track tax, state filing, and company reporting deadlines, coordinating with responsible staff and outside providers.
- Keep insurance renewals, certificates, and audit paperwork organized.
- Maintain lease records, renewal dates, and company files.
- Coordinate vendor onboarding, W-9 collection, and records for annual 1099 processing.
- Work with payroll staff on financial handoffs, reconciliations, and expense coding.
- Improve written procedures and help the team adopt new systems and processes.
- At least four years of experience in accounting, bookkeeping, or office/business operations. This role needs someone who can draw on practical experience from the start.
- Hands-on Quick Books Online experience. You've used it regularly for financial records, transaction review, and reporting.
- Excellent time management. You have a dependable system for prioritizing work, tracking deadlines, and following through.
- A willingness to learn and adapt. You're comfortable learning new software and adjusting established routines as business needs change.
- Strong attention to detail and sound judgment with confidential financial and business information.
- Clear, respectful communication with coworkers, directors, vendors, accountants, and leadership.
- An approachable, collaborative working style. You can work with different personalities, receive feedback, and raise concerns constructively.
- Proficiency with Google Workspace and Excel, including lookups and pivot tables.
- A bachelor's degree in accounting, finance, business administration, or a related field,
or equivalent relevant experience
