The Legal Assistant will provide support to the Estate Planning group. The legal assistant will be responsible for managing all aspects of the calendaring including scheduling/cancelling appointments, managing task lists, and tracking/processing expenses. The legal assistant will assist the Trusts & Estates practice group with various clerical duties such as typing, proofreading, note taking, appointment coordination, meeting set-up, answering phones, mail distribution, greeting clients and other general office duties as needed.
- Provide confidential administrative support to legal staff.
- Manage and coordinate priorities of multiple attorney/paralegal assignments.
- Prepares documents and correspondence requiring knowledge of legal terminology and document formats, such as contracts, pleadings, briefs, complaints and motions. Possess a working knowledge of e‑filing.
- Draft and proofread correspondence and documents.
- Maintain electronic calendar for assignments. Make appointments for attorneys. Arrange conference rooms.
- Sort, distribute and prioritize all incoming mail. Prepare outgoing mail/shipping.
- Maintain all client files.
- Schedule business travel arrangements when necessary.
- Adhere to administrative and recordkeeping guidelines to support documentation of activities.
- Manage individual attorney and group task lists.
- Professional phone etiquette to handle incoming calls from clients and other members of the Firm.
- Open new files by creating New Client/New Case forms.
- Enter attorney and paralegal time into 3E.
- Maintain attorney mailing lists and contract.
- Perform general office duties including faxing, photocopying, scanning and filing.
- Works closely with billing staff.
- Greet all visitors to the office, notify appropriate person of their arrival.
- High School Diploma or GED equivalent required.
- Proficient knowledge of firm software and hardware including Outlook, Word, 3E, Excel, Emburse, and Visio.
- Trusts and estates and/or litigation experience required.
- Excellent proofreading, grammar and spelling skills a must.
- 5+ years of relevant work experience.
- Strong oral and written communication skills.
- Accurate typing skills with ability to transcribe legal documents and correspondence.
- Ability to organize and prioritize numerous tasks and complete them under time constraints; strong organizational skills.
- Interpersonal skills necessary in order to communicate and follow the instruction effectively from a diverse group of attorneys and staff and provide information with courtesy and tact.
