The Legal Assistant will provide support to the Estate Planning group. The legal assistant will be responsible for managing all aspects of the calendaring including scheduling/cancelling appointments, managing task lists, and tracking/processing expenses. The legal assistant will assist the Trusts & Estates practice group with various clerical duties such as typing, proofreading, note taking, appointment coordination, meeting set-up, answering phones, mail distribution, greeting clients and other general office duties as needed.

  • Provide confidential administrative support to legal staff.
  • Manage and coordinate priorities of multiple attorney/paralegal assignments.
  • Prepares documents and correspondence requiring knowledge of legal terminology and document formats, such as contracts, pleadings, briefs, complaints and motions. Possess a working knowledge of e‑filing.
  • Draft and proofread correspondence and documents.
  • Maintain electronic calendar for assignments. Make appointments for attorneys. Arrange conference rooms.
  • Sort, distribute and prioritize all incoming mail. Prepare outgoing mail/shipping.
  • Maintain all client files.
  • Schedule business travel arrangements when necessary.
  • Adhere to administrative and recordkeeping guidelines to support documentation of activities.
  • Manage individual attorney and group task lists.
  • Professional phone etiquette to handle incoming calls from clients and other members of the Firm.
  • Open new files by creating New Client/New Case forms.
  • Enter attorney and paralegal time into 3E.
  • Maintain attorney mailing lists and contract.
  • Perform general office duties including faxing, photocopying, scanning and filing.
  • Works closely with billing staff.
  • Greet all visitors to the office, notify appropriate person of their arrival.
  • High School Diploma or GED equivalent required.
  • Proficient knowledge of firm software and hardware including Outlook, Word, 3E, Excel, Emburse, and Visio.
  • Trusts and estates and/or litigation experience required.
  • Excellent proofreading, grammar and spelling skills a must.
  • 5+ years of relevant work experience.
  • Strong oral and written communication skills.
  • Accurate typing skills with ability to transcribe legal documents and correspondence.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints; strong organizational skills.
  • Interpersonal skills necessary in order to communicate and follow the instruction effectively from a diverse group of attorneys and staff and provide information with courtesy and tact.
