Job Summary

The Corporate Executive Assistant is a multifaceted role that blends high-level executive support, front desk/reception duties, and office management responsibilities. This position requires exceptional organizational skills, discretion, professionalism, and the ability to manage a wide variety of administrative tasks in a dynamic, fast-paced environment. The ideal candidate will serve as a trusted partner to the CEO, a welcoming presence for visitors, and the backbone of daily office operations.

Key Responsibilities
  • Manage the executive teams’ calendar, including scheduling meetings, appointments, expenses and travel arrangements.
  • Coordinate and support meetings, including agenda preparation, minute-taking, and follow-ups
  • Prepare reports, presentations, and other documents as needed
  • Handle confidential information with the utmost discretion and professionalism
  • Serve as the primary point of contact for visitors and callers, providing a professional and welcoming environment
  • Answer and direct incoming phone calls promptly and courteously
  • Receive and distribute mail, packages, and deliveries
  • Maintain the reception area and ensure it is tidy and presentable at all times
  • Assist with scheduling and preparing for on-site meetings and interviews
  • Oversee daily office operations and ensure the smooth running of the workplace
  • Order and manage office supplies and equipment inventory
  • Assist with organizing company events, meetings, and team-building activities
Qualifications
  • Bachelor’s degree preferred or equivalent administrative experience
  • 5+ years of experience supporting senior executives, office management, or similar roles
  • Excellent communication and interpersonal skills
  • Strong organizational, multitasking, and time-management abilities
  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office technology
  • Ability to work independently, exercise sound judgment, and maintain confidentiality
  • Professional demeanor and a positive, proactive attitude

This position is based on-site and reports directly to the CEO. The Executive Assistant will interact regularly with all levels of staff, external partners, and guests, and is expected to uphold the highest standards of professionalism and service.
