Lead Office Administrator / Senior Executive Assistant
Vantor is looking for a world-class Lead Office Administrator / Senior Executive Assistant to serve as a true force multiplier for the CEO and executive leadership. This high-impact role is for a professional who thrives in fast-paced, mission-critical environments and takes pride in enabling leaders to operate at their highest level.
Key Responsibilities- Optimize executives' time, eliminating low-value tasks and protecting high-impact priorities (strategy, hiring, innovation).
- Prepare clear, actionable briefings with context and trade-offs; ensure follow-through on decisions.
- Filter incoming issues, resolve where possible, and appropriately escalated while tracking to completion.
- Enforce purpose, agendas, and preparation; capture outcomes and ensure accountability for next steps.
- Build and maintain scalable workflows for planning, prioritization, communications, and travel.
- Reinforce priorities, manage stakeholder expectations, and handle sensitive interactions with professionalism.
- Use approved AI and productivity tools to streamline workflows while maintaining accuracy and confidentiality.
- Coordinate end-to-end candidate experience, scheduling, and executive briefings.
- Plan detailed, contingency-ready travel with minimal executive involvement.
- Anticipate workload pressures and proactively manage cadence to maintain effectiveness.
- Partner with EAs and cross-functional teams to standardize processes and improve executive office efficiency.
- U.S. Citizen; U.S. person status required.
- Bachelor’s degree preferred or equivalent experience.
- 10+ years as an Executive Assistant, including 5+ years supporting C-level executives (CEO/ELT preferred).
- Experience in fast-paced, high-trust environments; exhibited proficiency in Microsoft 365, Teams, Concur, Workday, and modern collaboration tools.
- Proven ability to proactively manage time, priorities, and risks before they surface; demonstrated success managing complexity, driving execution, and ensuring follow-through.
- Exceptional written and verbal communication skills; ability to produce clear, executive-ready materials.
- Trusted with highly sensitive information; maintains highest level of integrity and professionalism.
- Advanced proficiency with AI to improve productivity while maintaining quality control.
- Must be able to work on-site at least three days per week.
Starting pay for this role will fall within the listed range and will be based on factors such as experience, qualifications, skills, location, and market conditions.
- Base pay in Colorado: $76,000 - $101,000 - $111,100 annually.
- For all other states, ranges are adjusted based on geographic cost of labor.
