Position

Purpose

The Administrative Assistant I/II provides moderate to complex administrative support to the City Attorney’s Office. The role requires high‑level customer service, strong communication, financial/budget acumen, office‑support abilities, and proficiency with common office technology and software.

Administrative Assistant I – intermediate‑level, routine to semi‑complex clerical work.
Administrative Assistant II – advanced‑level, semi‑complex to complex work with minimal oversight.

Responsibilities
  • Deliver high‑level customer service to the work group, city employees, public officials, businesses, and the general public.
  • Assist with telephone and reception coverage as needed.
  • Schedule meetings and appointments, coordinate travel and conference attendance.
  • Provide budget support: maintain balances and reconciliations, verify funding, process purchase orders and invoices, record expenditures and mileage, initiate budget revisions and journal entries, and support procurement processes.
  • Track deadlines and due dates; administer work‑group‑specific programs and initiatives.
  • Maintain physical and electronic filing systems and ensure timely filing of important documents.
  • Maintain office supply inventory and coordinate equipment maintenance.
  • Maintain regular and punctual attendance.
  • Support the City Attorney’s Office in the preparation of legal documents, court filings, and case files; manage sensitive information in a confidential manner.
Qualifications

Required
:

  • Graduation from high school or GED.
  • Minimum three (3) years of experience in a high‑public‑contact administrative assistant position.
  • Proficiency in personal computer use with emphasis on word processing (40 wpm with accuracy) and Microsoft Office (Outlook, Word, Excel, Teams, PowerPoint).
  • Knowledge of standard office practices and general accounting/budget maintenance.
  • Legal knowledge may be beneficial for supporting attorneys in civil or municipal law practices.

Preferred
:

  • Directly related experience in municipal government or public sector.
  • Experience with financial software systems (e.g., JD Edwards).
  • Experience with other work‑group‑specific software programs.
  • Multilingual proficiency with fluency in a language other than English.
  • Notary public status or willingness to obtain within six months of hire.
Physical Requirements

The work is sedentary but requires sufficient stamina and strength for occasional walking, standing, bending, reaching, lifting up to 25 pounds, and frequent light grasp and manipulation.

Working Conditions

Primarily indoor, sedentary office work with intermittent high‑stress demands. Exposure to sensitive legal and court materials and occasional explicit content may occur.

  • For the Prosecution Office: additional FBI CJIS criminal background check.
