The Client Care Specialist (CCS) is an intermediate-level position performing basic to intermediate paraprofessional, clerical, and patient care work while providing public health care within the scope of services of specialty clinics at the Adams County Health Department. This is a position that trains on the job for client care duties. The CCS main role is at check-in and checkout in the Sexual Health Clinic including scheduling, requesting records and collecting money.
The CCS will be trained to perform basic medical assistant duties to assist with client appointments. May conduct vital signs, point-of-care labs, instruct clients on self-collection lab samples and assist with procedures. The CCS utilizes the electronic health record to document physical measurements, history, laboratory orders and results and correspondence.
- Implementation of applicable policies, procedures, and standards of care.
- Attend required staff meetings and trainings.
- Accurately enter client demographic and insurance information into the electronic health record (EHR).
- Accurately and efficiently schedule client appointments in the EHR.
- Review client’s insurance and their eligibility to confirm the services requested are covered under their plan or are offered by one of our program’s grants.
- Efficiently and accurately collect money, enter into client ledger and prepare deposits.
- Timely and accurate data entry into the electronic health record.
- Annual competency training and other required trainings as assigned.
- Schedules clients, in accordance with medical protocols.
- Performs routine clerical and reception work as needed to support clinic activities including assisting clients, answering phones, maintaining records, entering chart data and collecting money.
- Review and verify Electronic Submissions of Bills (ESB) to ensure accuracy and completeness.
- Reconcile ESB in EHR to move to the next step in the billing process.
- Ensure that the billing process advances to the next stage once ESB reconciliation is complete, which may include generating invoices, sending claims to insurance providers, and other related activities.
- Identify and rectify errors or discrepancies found during ESB reconciliation, such as coding errors, patient information updates, and other issues impacting billing accuracy.
- Ensure that all necessary demographic, billing, and clinical information is obtained and entered in the EHR with timeliness and accuracy.
- Documents and balances cash drawer. Completes cash drawer report. Deposits payments.
- Offer guidance and support to other clinical staff regarding billing-related matters, ensuring they have the necessary resources and information to assist in the billing process effectively.
- Obtains client medical and social histories. Reviews records for completeness and accuracy of information, and records purpose of client visits.
- Takes vital signs, height, and weight measurements, calculate BMI.
- Performs lab tests as specified and prepares specimens for transport to outside labs. Enters orders into lab ordering system, records complete and accurate results.
- Maintains a clinical lab book through recording daily lab procedures conducted, obtaining and tracking lab reports, and assisting with lab billing procedures.
- Assists in client exams and procedures.
- Provides educational information to client and family according to visit.
- Ensure client records are prepped and verify insurance before clinic opens and throughout the day.
- Complete reminder phone calls to confirm scheduled appointments with clients daily.
- Effectively perform administrative tasks including word processing, data entry, mailings, and other clerical duties in support of clinic operations.
- Assist with community off‑site events as needed.
- Assist in the orientation and training of new employees, students, and volunteers.
- Participates in quality improvement projects.
- Maintains electronic health record (EHR) proficiency and skills as necessary for daily duties.
